Operations Manager

The IIE (Pty) Ltd is the registered provider of higher education which is delivered through the following educational brands: Vega, Varsity College, Rosebank College, IIEMSA and IIE HSM.
The Independent Institute of Education’s Central Academic Team (CAT) is responsible for the academic leadership and governance of the work done at the brands while each brand is managed as a business entity by its own divisional management team.
The IIE’s strategic imperative is to become the first private university in South Africa.
The IIE (Pty) Ltd is a wholly owned subsidiary of ADvTECH Ltd, which is listed on the JSE.
**The IIE’s Central Academic Team have a vacancy for an Operations Manager - Office of the Registrar at The IIE’s offices based in Sandton.**
**Reporting To**:
The Operations Manager - Office of the Registrar reports to the Registrar - Head.
**Key Purpose Statement**:
The incumbent will work directly with staff in the division and with the senior staff in the brands and head office functions and all teams in CAT. The Operations Manager will have overall accountability of the Student Hub operations. The exact nature of the responsibilities will vary from time to time according to the needs of The IIE. The incumbent must be capable of designing, implementing, reviewing, and improving all operations and interfaces in the Division, using human resources and technology-based systems, solutions, and processes.
**Duties and Responsibilities**:
**General**:
- Work with the Registrar to ensure that the division (including the Student Hub) meets its key obligations to the institute effectively and efficiently by monitoring, improving, and supporting the work of the division against these objectives.
- Ensuring the availability and correct skilling and performance of the team to deliver against the objectives.
- Ensuring the availability of the technological, process and information systems and support to enable achievement of the objectives and pre-emptive action to mitigate risk.
- Review, refine, develop, implement, monitor, and refine administration systems and processes to support the above.
- Liaison with the tertiary IIE brands and CAT to troubleshoot and ensure effective delivery.
- Development and training of team members and contribute to their management, supervision, and oversight.
- Office management - IT assets, workspace, etc.
- Budget setting and control.
**Effective running, leadership, and development of operations in the division**:
- Manage operations to deliver projects to meet the required outcomes.
- Take a leadership role in the improvement of systems, policies and processes and reporting that will enable more effective and efficient delivery in this area.
**Stakeholders**:
- Manage relationships with brands formally and informally to support their success and our effective delivery.
- Engage with internal and external stakeholders as required to achieve this.
- Take ownership of relationships with support functions such as the systems unit (AIT).
**Tracking and Information Management**:
- Full responsibility for tracking systems and processes including appropriate escalations for identified risks.
- This includes improvement of the systems and associated reports.
**Administration and Governance**:
- Participation in formal governance and management structures as required.
- Ensuring those on team provide accurate information on time to enable governance and internal and external compliance.
- Ensure policy compliance.
- Ensure that the Student Hub provides accurate, effective and efficient service. Monitor and resolve escalations.
- Committee Secretariat for the IIE Student Council and IIE Faculty Academic Forums.
**Qualifications**:
Preferably a Postgraduate qualification but at least an initial qualification at degree level.
**Experience**:
Not all of these are required, but will be preferable - the total skill set will be considered:
- Normally, at least five years’ experience in an operational role in an education institution
- Some management or supervisory experience with a span of control of at least 6 people.
- Work experience in a complex structure and experience within a matrix management system (having to exercise leadership over people who report to other line managers).
- Operations experience in a multi-site context.
- Familiarity with The IIE and the tertiary division of ADvTECH.
- Technical ability to work effectively using tools such as SharePoint, MSPlanner and a helpdesk such as Freshdesk.
**Competencies**:
- Excellent communication skills particularly in English, both verbal and written, including the ability to communicate with a range of audiences clearly, concisely with a focus on specific and accurate and accessible information flow to the target audience.
- Numeracy skills demonstrated through the ability to consume and organise and communicate data in a way that enables evaluation of effectiveness and efficiency.
