The role reports directly to the Depot Manager.
- Purpose of the job:_

Assist in the administration and coordination of all activities related to the Motor Business Unit.

This includes executing administrative tasks with competent, dynamic and responsive skills. A wide-ranging and responsible role requiring strong administrative‚ IT‚ organizational and communication skills and a proactive 'can-do’ attitude.

As a Project Assistant you will be the point of contact for the Wolmerton Depot.

The role requires mobility to interface with Customer and Services Operations sites.

**Responsibilities**
- Attend to requests and queries appropriately
- Maintain professional and personal agenda, arrange meetings and appointments, and provide reminders.
- Take charge of all Purchase Request, Purchase Orders including managing external vendor queries
- Travel management; Creation and end to-end management of all travels in relation with the travel agency and management of VISA processes and expense claims.
- Produce reports, presentations, and briefs. Compiling reports for Project reviews.
- Develop and carry out an efficient documentation and filing system (e.g. tool registers / calibration records etc.)
- Manage the office - reception of visitors, room allocation, invoices, lunches etc.
- Arrange, administer and take minutes for meetings.
- Invoice management; Suppliers creation, purchase Orders creation and follow-up with suppliers and accounting department with managing expenses
- Provide the necessary support to new hires in the team.
- Administration of the company’s Time & Attendance System.
- Assist with APSYS dashboarding and project managing of continuous improvement assignments.
- Performance measurements: (OTD, QCD, Sales, PMC, Orders, Gross margin, etc.)
- Office Supply and management - groceries, stationery, PPE etc.
- Cash Card - recon spreadsheet sent on time to finance - zero gap (spends vs recon).

**Requirements**:

- Grade 12 or equivalent.
- Administration related Qualification.
- Solid experience working as a Project and or Administration Assistant.
- Proficiency in MS Office with expertise in Word, PowerPoint and Excel.
- Full comprehension of office management systems and procedures.
- Knowledge of SAP success factors, having worked in a matrix environment/structure.
- Knowledge of Finance and/or HR is an added advantage.
- Willing to an extra - mile
