Sales Support Coordinator

**POSITION OVERVIEW**:
**MINIMUM REQUIREMENTS**:
- Minimum 3-5 years’ experience in a project management or administrative role preferably in the Media/Advertising industry, although this is not an absolute requirement.
- Must have a good understanding of sales support as well as operations.
- High proficiency in MS Office, with advanced Excel and PowerPoint skills.
- Working knowledge of Navision (NAV) and OT3 will be advantageous.
**JOB RESPONSIBILITIES**:
**Contracts**:
- Ensure all paperwork and contracts for client campaigns are completed and captured on the system.
- Ensure all contracts are properly signed by all parties.
**Artwork/Production Procedure**:
- Liaise with the relevant stakeholders on the jpeg from design until the artwork is finalized.
**Production Jobs**:
- Raise relevant job on OT3.
- Attach all pertaining documentation required (POP, Jpeg)
- Ensure that all rates charged correctly.
- Obtain quote from operations and provide pricing quote to either client direct or the sales rep who will then communicate accordingly.
- Sales admin must ensure that artwork is obtained timeously to meet the SLA timeframes for production requirements.
- On completion of flighting, create the site bible and send to the client and sales rep in finalization of the campaign proof.
- Maintenance jobs - any operational issues require the raising of the relevant job and sending to relevant parties for authorisation and actioning. (tree cutting, blow outs, theft, monthly visuals should client request, etc).
- Landlords - Liaising with Landlord Liaison and Contract Manager and assisting with any production related requirements that landlords require of which the above procedure also takes place.
- Manage contract bookings on OT3 where applicable.
**Monthly Renewals**:
- Sales to advise if client is renewing or cancelling and then the relevant renewal contract is created carrying the same detail as above, or blanking job raised.
- Constant follow up with Sales is required.
**OMC Data/Quantum**:
- In conjunction with Marketing have a good understanding of the Quantam system, and use the information obtained from it to deliver audience numbers, related information on sites in the Outdoor holdings, and provide information on competitors.
**Presentations and Proposals**:
- Respond to briefs received from Sales to prepare detailed and comprehensive presentations and proposals to clients.
**Client Service and Communications**:
- Respond to queries and communications from clients and Sales on all aspects relating to the ongoing campaigns.
