**Executive HR Team Coordinator**:
Partner the leaders in the office of the HR Executive in the delivery of a wide range of routine administrative, office management and very complex operational responsibilities.

These include but are not limited to:
Financial, Office and Team Administration (and governance) and Executive Office Communications

Project Coordination including e.g. large scale events from scoping to execution

Procurement and Vendor Management

Executive Office Communications

Customer (external and internal query management and resolution)

Mentorship and coaching of HR Team Assistants

Stakeholder management

**Must have’s**:

- Matric and Relevant Business Administration and HR qualification and or Experience Expertise in various software / system requirements: MS Suite of products, Databases e.g. Access, ClickView, ERP systems e.g. SAP
- (5-8) years’ experience business and office administration, policies, and practices (including, risk, compliance and governance related to office administration)
- Exceptional written and verbal communication skills with proven track record in designing presentations, drafting communications (letters, reports, minutes) for senior audiences that include Group Exco members
- Three (3) years’ experience in dealing with complex and multiple stakeholder Future requirements may include an understanding of Agile methodologies and more specifically the administrative routines and processes (e.g. retro’s) for the effective administrative support of these

**Experience should include**:

- Must be able to leverage technology and software knowledge and skill to create systems (e.g. schedules, spreadsheet templates), databases and process
- Proven track record in financial administration (Budget tracking, PO generation, Invoicing)
- Proven track record in senior client relationship management
- Proven track record in project administration Preferred / Advantage
- Is a trusted Team player Has HR domain experience to enable context and understanding of GHR agenda and related support services Is exceptional at execution - a known starter-completer
- Displays a strong service orientation and desire to contribute to Client’s HC agenda
- Displays exceptional attention to detail - for self and others Is able to ‘connect the dots’ and enable the work of all members of the team by doing so Exercises sound judgement in all activity
- Exceptional EQ and an ability to discern matters Low ego, and ability to manage confidential matters with extreme discretion
- Lead the end-to-end project coordination and administration of both small
- and large-scale events for the office of the HR Executive e.g. conferences, meetings, award functions
- Beyond events this could include data collection and analysis projects, bespoke system creation, implementation, and training
- Distil event requirements and objectives and independently identify and scope solutions and proposals for the team e.g. theme, venues, décor, food, budget
- Identify and source suppliers and coordinate the end-to-end procurement and payment processes to deliver on critical project requirements

**Operationalize all event / project requirements e.g. coordinate, manage, design and implement various components of these such**:

- Venue set up, invitations, planning, dry runs, AV equipment
- Continuously scan and research the market for new and innovative ideas for conferencing, events
- Coordinate and manage all logistics for projects and events e.g. invites, RSVPs, special dietary requirements, travel, briefing pack design and distribution
