- Position Summary
- One of our esteemed clients being a multinational leader in office automation amongst other industries is looking for an experienced Stores Manager to join their progressive team.Stores Manager
- Essential Duties and Responsibilities:
- Ensure uninterrupted supply of inventory items without delay to various users of the organisation.
- Prevent overstocking and under stocking of inventory items.
- Ensure safe handling of inventory items and prevent their damage.
- Ensure processes in place to prevent inventory items from pilferage, theft, fire and other risks.
- Minimise costs of storage and logistics.
- Ensure the company’s logístical requirements are met in both efficiency and financially.
- Ensure proper and continuous control over inventory items.
- Ensure most effective utilization of available storage space.
- Optimize the efficiency of the personnel engaged in the stores department.
- Key Duties
- Close communication with various departments with regards to order placement requirements and the relevant processes required. These include but are not limited to:
- Confirm orders are signed off in line with the Company’s Authority Framework before stock is ordered.
- Liaise with supplier both local and international to order stock.
- Continuous follow up on pending orders to ensure efficient service delivery from the supplier and timeous delivery of our stock.
- Confirm supplier vetting processes are followed for new suppliers in line with Company procedure and in conjunction with the relevant departments.
- Oversee the receipt of incoming inventory items.
- Implement and enforce processes regarding safe and proper handling of inventory items so as to not damage them.
- Supervise unloading of Inventory items.
- Implement and enforce processes relating to checking for damages or shortages upon receipt of Inventory items.
- Implement and enforce processes relating to arrangements for inspection by the Technical team for Inventory items and oversee and sign off the completion of inspections done.
- Review and sign off of the Goods Receipts note prepared by the Stores Department.
- Implement, enforce, review and sign off of the Goods Rejection Memo for goods not accepted.
- Review and submit Stores paperwork to the Finance department for stock GRN’ed for local and import:
- Signed Goods receipts note.
- Supplier invoice vetted for Tax compliance.
- PO matching supplier invoice (Price and QTY with notes for valid variances)
- POD matching inventory items actually received, matching PO and supplier invoice
- (Price and QTY with notes for valid variances).
- Costing sheet for imports
- Relevant import supporting documentations i.e., Courier invoices and SAD500 for foreign imports.
- Process on BPO and Pastel and submit Stores paperwork to the Finance department for stock
- GRN’ed local and import as back up to subordinates who perform this function.
- Review and submit Stores paperwork to the Finance department for stock returned for local and import:
- Signed Goods return note.
- Supplier Credit note
- Communication regarding return to be processed.
- Documents relating to original GRN processed:
- Signed Goods receipts note.
- Supplier invoice vetted for Tax compliance.
- PO matching supplier invoice (Price and QTY with notes for valid variances)
- POD matching inventory items actually received, matching PO and supplier invoice (Price and QTY with notes for valid variances).
- Costing sheet for imports
- Relevant import supporting documentations i.e., Courier invoices and SAD500 for foreign imports.
- Process on BPO and Pastel and submit Stores paperwork to the Finance department for stock returned local and import as back up to subordinates who perform this function.
- Implement and enforce processes relating to stock movement between various stock warehouses including branches.
- Sign off and submit to relevant department paperwork from Stores department processing:
- Goods receipts notes
- Goods rejection memo’s
- Stock adjustments
- Stock Revaluations
- Stock Transfer notes
- Stock Issue notes.
- Ensure proper record keeping and correct accounting of inventory items.
- Implement and enforce regular stock verification by way of cycle counts.
- Quarterly stock counts
- Monthly stock counts
- Annual stock counts
- Quarterly Off-site stock counts - Namibia and Branches
- Submit feedback and reports regarding count findings to Finance department in a neat and timeous manner.
- Monthly review of stock valuation for obsolescence or over valuation from damaged stock.
- Timeously submit claims for insurance to the Risk officer for damaged stock.
