**We Want You**:
We are looking for a **Receptionist** who will provide a professional, efficient, effective, and vigilant frontline service to enhance the image of our company. Under the direction of the Office Manager, acting as an assistant to the Office Manager, with mínimal supervision, the successful All-Star will be responsible for supporting and coordinating overall front office activities - this includes the reception area, and the switchboard function as well as assisting the Office Manager with administrative functions. Administrative functions, such as monitoring the mail, purchasing office supplies, planning, scheduling, overseeing facilities, and developing or supervising programmes for the maximum utilisation of services and equipment, will also be expected of this team player.

**You Bring**:

- At least two years of previous experience in office and operations administration;
- Proficient in reading and writing English, comprehending and following verbal and written instructions, and using simple Maths;
- Proficient with using a PC in a Windows environment;
- Proficient with Microsoft Outlook, Word & Excel;
- Two years of experience in building and facilities administration (advantageous).

**What You’ll Do**:

- Oversee the reception area to ensure effective telephone and mail communication, both internally and externally, to maintain a professional image;
- Ensure the building is always in a presentable and good condition, and report any maintenance related issues to the Office Manager;
- Assist in the purchase of office and production supplies, materials, equipment, and procuring services, in accordance with company policies and budgetary restrictions;
- Assist in coordinating the maintenance of office and building equipment;
- Actively participate in, or lead projects as assigned by the Office Manager;
- Forward information received, distribute communication, collect and mail correspondence;
- Maintain office supplies by checking stock to determine inventory levels, this includes anticipating requirements, placing and expediting orders, verifying receipts, stocking items, delivering supplies to work stations, keeping record of stock issued;
- Serve clients and Team Members by answering questions, forwarding messages, confirming orders, keeping all parties informed of order status, and coordinating communication;
- Coordinate vendors and outside services to ensure timely delivery, that work is completed, and obtaining timely quotes from multiple sources;
- Enhance BET Software’s reputation by dealing promptly with new and different requests, as well as exploring opportunities to add value to the company;
- Responsible for ensuring timely and accurate data entry and processing systems;
- Responsible for managing meeting rooms, including bookings, set-ups, and presentation;
- Maintain and update filing systems for the departments, and be able to retrieve information from files when needed;
- Performs other assignments and ad-hoc tasks as directed by the Office Manager.
