2iC to Operations Manager
Leading Telecoms company based in Cape Town CBD is looking for a super organised assistant to the Operations Manager to play an indispensable role in upholding precise time management, meticulous task execution, and vigilant follow-up procedures within all the different channels of the department.
This position requires unparalleled organisational prowess, adeptness in list-taking and execution, and an innate ability to make informed logical decisions that amplify the Operations Manager's effectiveness.
This person will serve as a linchpin for various stakeholders, guaranteeing unwavering attention to detail, vigilant tracking of tasks, with continuous and clear communication.
**Key Responsibilities**:
1) Time Management and Execution Champion:
a) Oversee the development and adherence to tight schedules for projects and operational tasks.
b) Ensure tasks are executed according to established timelines, minimising delays, and optimising resources.
c) Monitor progress and intervene when necessary to keep projects on track.
2) Meticulous Task Management:
a) Excel at creating, organising, and managing task lists, ensuring no detail is overlooked.
b)Implement and refine task execution processes to maximise efficiency and minimise errors.
c) Prioritise tasks based on strategic importance and resource availability.
3) Thorough Check and Follow-Up:
a) Institute a robust system for thorough checks and follow-ups, minimising errors, and gaps in execution.
b) Regularly review completed tasks for accuracy, completeness, and alignment with quality standards.
c) Promptly follow up on pending tasks, providing guidance and support where needed.
4) Reporting and Decision Support:
a) Generate comprehensive reports that reflect daily progress, highlight key metrics, and identify areas needing attention.
b) Collate data into actionable insights, aiding the Operations Manager's decision-making process.
c) Collaborate with the Operations Manager to make informed decisions based on accurate data.
5) Detail-Oriented Task Execution:
a) Instil a culture of meticulousness, accuracy, and excellence within the team, emphasising attention to detail at every stage.
b) Set quality benchmarks for task completion and ensure they are met consistently.
c) Conduct thorough reviews to identify and rectify any deviations from established processes.
6) Decisive Problem Solving:
a) Cultivate a problem-solving mindset, swiftly addressing challenges that arise during task execution.
b) Make sound decisions that align with any SLA’s, the company goals and operational priorities.
c) Collaborate with the Operations Manager to implement effective solutions that drive results.
7) Support to Operations Manager:
a) Assist the Operations Manager in maintaining an organised work environment, ensuring seamless communication and coordination.
b) Act as a conduit between teams and stakeholders, guaranteeing clear and concise information flow.
c) Step in to support the Operations Manager in critical tasks and decisions.
**Qualifications and Experience**:
A tertiary diploma or extensive experience in Operations Management or a close related field
- A number of years experience in operations, with a focus on time-sensitive task execution and follow-up.
- Proven track record in implementing and managing task execution processes for enhanced efficiency.
- Exceptional time-management and organisational skills, with the ability to manage multiple tasks concurrently.
- Strong attention to detail, ensuring high levels of accuracy in task execution and reporting.
- Strong proficiency in Microsoft Excel, specifically data management, analysis, and reporting.
- Effective decision-making skills, bolstered by the ability to analyse complex situations quickly.
- Excellent communication skills and the capacity to interact with diverse stakeholders.
