Planning Assistant

**Qualifications**:
- Grade 12 (Project Management knowledge will be an advantage)
**Experience**:
- 3 to 4 years’ in planning environment will be advantageous
- Minimum 2 years data capturing experience
- Minimum 2 years administration experience
**Roles and Responsibilities**:
**Assistant Planning**
- Working under direct supervision and instructions of the Planner
- Liaise with clients and arrange jobs in various regions
- Save on server and make sure all job files are completed with documents provided Open job files when an order is received
- Create job cards as soon as job has been opened
- Keep track of the job progress made
- Generate purchase orders for suppliers and sub-contractors
- Follow-up with inspectors to submit inspection packs within due time
- Travel arrangements for inspectors - to use own initiative in terms of planning the best routes and most cost effective
- Make changes to bookings on short notice and make alternative plans
- Ensure that inspectors liaise with planner directly for missing job numbers and other queries they might have
- Managing reports and necessary documentation as and when required
- Work directly with customers and inspectors
- Arrange and plan ISO3834 audits
- Plan PED audits on ICM
- Create, distribute and control certificates issued for PED and ISO 3834
- Controlling time management
- Ensuring customer satisfaction
- Work under pressure, fast, and attention to detail
**Document Control**
- Transmit documents out for AIA review or design verification to relevant engineers / IPE’s.
- Receive back reviewed / verified documents & return documents back to clients within the five day turnaround time or the agreed specified time.
- Responsible for controlling and managing the transmittal of documents in a timely manner by following-up with the reviewers on a daily basis.
- Routing of concessions.
- To transmit documents only after ensuring that the project budget limit for design and AIA reviews is not exhausted.
- To ensure purchase orders for designated Design Engineers are correct.
- To ensure project revision lists are updated at all times.
- To manage projects in a way as to make sure that the project does not exceed the three reviews and to inform management for change orders to be requested when the number of reviews is exceeded.
- To file documents and to ensure they are filed according to the company record management procedure.
- To ensure follow up lists are up to date.
- To update the visual turnaround time charts.
- To assist BSI Project Group Managers on administration work when required.
- Implement and adhere to the TÜV Rheinland South African Group management system requirements.
