Sales Administrator

SALES ADMIN ROLE IN WELL ESTABLISHED BUSINESS IN JET PARK - JHB EAST RAND

The purpose of this role is to provide quotations, basic technical support and explanations of the products and services and how they operate to both clients and independent distributors/ electricians.

Sales
- Monthly turn over targets are met.
- Quotations are presented in a timely and professional manner to all clients.
- Full client details are loaded on the system, prior to any quotation.
- Quotation is calculated and drawn up on the system.
- Follow-up calls are made every Wednesday on any quotes that have not been accepted from the past 3 weeks. Reasons for delays or rejections are recorded on the excel spreadsheet.
- Once the client accepts the quote, the quote is converted to an invoice.
- Only when payment is received the quote is converted to a confirmed order.
- The confirmed order is placed in the internal orders book, receiving an internal order number - placed onto the white board (clients name, order number, order description).
- Time and date for collection/service/installation are confirmed with internal staff and the client, this is done in coordination and collaboration with all involved.
- Customers are advised on the best solution for their needs. 100% correct calculations are made to advise the correct solution to the client.
- Closure rates are achieved.
- Monthly targets are met.
- Feedback on product trends and competitors are provided 2x per month, based on facts as per the follow-up sheets.
- Processes are followed to ensure a smooth sales process and traceability.

Customer Service
- Phones are answered within 3 rings.
- Calls are transferred to the appropriate department/person. Warrantee calls are received and listened to with care, and warranty procedure is followed to ensure that all clients are serviced within 24-72 hours.
- All walk-in clients are attended to in a friendly and professional manner. Clients are guided to and serviced only in the showroom.
- Best solution with correct calculations is advised.
- Cash or Card purchases are processed with an official invoice.
- Client leaves with the correct stock that is paid for.
- Irate customers are treated in a calm manner, providing them with an understanding of company procedures and a willingness to assist and resolve their problem as soon as possible.
- Clients provide good reviews on google.
- Happy clients.
- Zero buyers remorse.

Administration
- Invoices are signed off by the client when goods & services is received.
- Invoices are filed in numerical order per invoice number, newest/highest on top.
- Desks are clean, neat and tidy. All paperwork is filed or in relevant paper trays.
- Handwriting to be neat and legible for all.
- Clean, neat and tidy office that functions well. Easy for all to get information quickly (within 20 minutes.)

**Requirements**:

- Fluent in English and Afrikaans.
- Own Transport
- Excellent customer service ability.
- Ability to close sales successfully.
- Outstanding attention to detail and admin ability.
- Able to calculate the formulas for volts, amps, wattage and power factor.
- Knowledge of UPS and Inverters would be advantageous but can be learnt.
- Able to provide outstanding client service.
- Able to communicate clearly with colleagues and clients timeously, written and verbally.
- Ability to coordinate and collaborate with others for a good outcome.
