Zeitz Museum of Contemporary Art Africa (Zeitz MOCAA) is a public not-for-profit institution that exhibits, collects, preserves, and research contemporary art from Africa and its diaspora; conceives and hosts international exhibitions; develops supporting educational, discursive, and enrichment programmes; encourages intercultural understanding; and strives for access for all. The museum’s galleries feature rotating, temporary exhibitions with dedicated spaces for the permanent collection. The institution also includes the Centre for Art Education (CFAE), and the Atelier, a project space for emerging Cape Town-based artists.

**Job Summary**
The purpose of the Education Administrator’s role is to handle administrative tasks relating to relating to all programmes in the BMW Centre for Art Education (CFAE). This role reports to the Head of Centre for Art Education, the Education Manager, the Education Specialist and the Museum Educator. The Education Administrator communicates on behalf of the CFAE team to other museum departments and external stakeholders and provides administrative and resource support to the CFAE Head and the team to realise the programmatic goals and outcomes.
**Key Responsibilities**
**Administrative tasks**- Conduct research on finding suitable resources for the department and obtaining quotes as per the procurement policy- Compilation of the departments weekly payment schedule and raising of purchase orders- Support with transport logistics and departmental staff travel administration- Support with materials ordering for all departmental programmes- Responsible for the departments cell phone care and communication- Supporting with departmental event logistics including delivery and arranging of catering- Field queries to relevant team members and support with department scheduling
**Scheduling Assistant and Data Capturing**
- Assist the Education Manager with the physical and digital department calendar
- Maintain databases for specific aspects related to the department
- Manage the attendance registers and numbers for all programmes
**Department Stock Control**- Maintain a regular supply of office consumables through conducting regular stock takes- Ensure sufficient groceries on hand for the office as well as catering needs for various programmes- Keep track of the departments equipment- Coordinating the hiring/lending CFAE assets from other departments
**Meeting Attendance**
- Departmental weekly catch-up
- Monthly department project overview
- Monthly Cash Flow meeting
**What you’ll need to be successful in the role**:
- A three-year equivalent (NQF Level 6) in Office Administration/Secretarial/ Office Management/Administration/Management Assistant
- A minimum of 3 years’ experience in an administrative role in an office environment
- Excellent written and verbal communication
- Knowledge of Microsoft Office suite including Outlook
- Knowledge of organisational skills
- Strong attention to detail
- High level of efficiency
- Working independently and taking initiative
- Effective problem solving
- Good time management and scheduling abilities
- Teamwork and collaboration
- Honest and reliable
- Basic bookkeeping and data capturing
**Requirements**:
- Fluent in written and spoken English.
- Competency in another official SA language is a strong recommendation.
