**Job Description**:
The Executive Personal Assistant will be responsible for assisting the Chairman.

Accountable for performing a wide variety of administrative functions. Duties performed require considerable confidentiality, initiative, tact, and mature and independent judgment. This role requires adaptability, dependability as well as accountability. Good communication skills, judgment and decision making. Always being aware of any sensitivities. There is a high level of self-management but most importantly requires a high level of professionalism.

The role requires working on a wide range of initiatives in a young and dynamic team. New business ventures for the Kaelo Group, technology deployment, identifying and managing efficiencies, sales support etc are all relevant.

BUSINESS UNIT: Strat Office

The Strat Office is deeply involved in new initiatives in the group. The small young dynamic team are actively involved in new and startup businesses from conceptual stage through to adoption.

**KEY OUTCOMES**

**Administration**

Run errands as requested

Copying, scanning, and faxing documents, as well as taking notes

Ordering office supplies and replacements, as well as managing mail and courier services

Coordinating business affairs for the Chairman

**Travel and Event Management**

Schedule meetings and manage calendars.

Plan travel, including flights, accommodation and ground transportation

Help with daily time management

Assist with the planning and implementation of Kaelo functions including: company and client events, CSI initiatives etc.

**Governance**

Minute meetings, forums and committees ensuring risks, actions, issues and decisions are documented

Proactive approach to problem-solving

Ability to multitask

Strong time-management and organization skills

**Planning and Reporting**

Facilitate internal communications (distribution of information and schedule of presentations)

Prepare presentations

**Financial and Budget support**

Credit card claims and reconciliations

HR admin support

**Qualifications**:
**SPECIAL REQUIREMENTS**

Office-based

Must have own vehicle

Perform occasional personal errands for the Chairman

Might need to work after hours from time-to-time

Excellent written and verbal communication skills

Exceptional interpersonal skills

**PERSON DETAILS: WORK EXPERIENCE**

**REQUIRED**

1 - 3 years as an Executive Personal Assistant would be advantageous.

**PREFERRED**

**EDUCATION: QUALIFICATIONS: ACCREDITATIONS WITH PROFESSIONAL BODY**

**REQUIRED**

Matric

A tertiary degree from a University.

**TECHNICAL SKILLS OR KNOWLEDGE**

**REQUIRED**

Microsoft Office skills

Working knowledge of printers, copiers, and scanners
