**Job Summary/Function**

To effectively and efficiently perform all administrative tasks/ requests from the Operations Manager.

**Duties**
- Retail Database - Assisting with the annual update of the retail Database and capturing information
- Post - Clearing out the post box at specific times during the month
- Short Postings - Checking and reporting on short postings on a daily basis, whilst recording it in on an Excel Spreadsheet.
- Board Reports: Compiling and Delivering quarterly reports
- Control Room Relief - As and when required
- Minutes: Recording minutes of meetings as and when required.
- Special meetings: Offering assistance to the Ops Manager as and when required.
- Meetings: Set up and receiving of visitors, which includes catering, tea/coffee etc
- Printer: Toner refill / errors / special printing
- Filling up of paper in Copy machine: Every morning
- Deliveries / Collections / Purchases - At the request of the Exec Manager and Operations Manager
- Daily fill up of kitchen requirements
- Receiving monthly supplies - Tea, Milk, Coffee, Paper etc
- Weekly washing of vehicles reporting when this takes place
- Caravan licensing - Renewed on an annual basis in September
- Control Room checks / caravan checks / equipment checks - Reporting any issues requiring attention to the Ops Manager
- Switchboard: Answering of switchboard
- Fire extinguisher servicing - Serviced on an annual basis

**Minimum Requirements**
- Matric/Grade 12
- 2 - 4 years’ experience in an administration role
- Outstanding organizational, administration and coordination skills.
- Committed and reliable
- Excellent verbal & written communication skills
- High proficiency in MS Office
