A company based in Brooklyn, Pretoria is seeking to employ a Programme Assistant. to assist with financial and administrative tasks in the Enact programme. The assistant will support the Programme Officer and Programme Administrator in all activities as per policies and procedures. The position involves providing general administrative support as well as assistance in event organisation and staff travel arrangements.

**Overview of duties**
- Liaise with programme staff and external service providers to understand and organise programme planning as required
- Travel to training events to assist with preparations and logistics
- Process financial transactions including issuing purchase orders (POs) and coordinating with the Finance Department for payments. This includes:

- Creating a PO requisition for all accepted quotations
- Sending a copy of the completed PO to the service provider
- Receipting PO when the invoice from the supplier is received
- Submitting the PO and supporting documents to Finance for payment
- Maintaining a 24- to 36-hour turn around on all processing times
- Maintain an Excel Budget Monitoring template
- Maintain a filing system for ENACT programme
- Provide support on general administration duties as necessary, including organising internal meetings, minute-taking, responding to external enquiries, liaison with service providers, booking of services, record-keeping and filing
- Uploading programme documents to intranet

**Overview of requirements**
- A certificate in business administration, secretarial studies/office administration
- At least 3 years’ experience in financial and programme administration
- Excellent written and verbal communication skills in English.
- Strong organising skills, including speed, efficiency and attention to detail
- Financial administration skills
- Ability to work independently, multi-task in an efficient and calm manner
- Ability to work in a team
- Strong people skills and a highly professional approach
- Ability to work with a diverse range of people
- Proven competence in MS Office and knowledge of Excel
- Available to travel locally
