**Job Specification (not totally inclusive)**:

- Arranging domestic travel schedule and reservations as needed, including expense reimbursement for local travelling;
- Liaising with service providers to obtain the best possible price and to negotiate special rates for direct bookings;
- Answering phones and direct all incoming calls to appropriate party promptly and efficiently;
- Management of office stationery and replacement as and when replenished;
- Maintenance call outs for broken components/machines or faulty electrical appliances;
- Monitoring and responding to incoming communications/enquiries to Director’s office including phone calls and walk ins if unable to resolve refer to relevant parties to address;
- Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner;
- Maintain records of decisions and ensure action items are clearly recorded for the further action;
- Assisting Directors with all required internal and external communication and preparations for departmental monthly meetings; and
- Providing support in arranging departmental strategy meetings and other offsite gatherings.

**Minimum Skills required.**:

- Qualification/certificate in office management or related field is required;
- A minimum of five years’ experience in an administrative support role, preferably at the senior management level;
- Must have proven experience in coordinating and managing corporate events;
- Must have statutory/secretarial knowledge (minutes, resolution etc);
- Ability to compose and edit written materials, translation experience is a plus;
- Excellent computer skills; proficient or advanced skill in Microsoft Office Suite; and
- Must have driver’s license and own transport.

- Attention to detail, with the ability to maintain a high level of accuracy.
