Administrative Officer in The Executive Director's

**Key Responsibilities**:
- **Administrative Support**:
- Manage the Executive Director’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and organize documents for meetings, ensuring all necessary materials are available.
- Handle confidential information with discretion and professionalism.
- Coordinate and facilitate communication between the Executive Director and internal/external stakeholders.
- **Financial Management**:
- Process invoices, expense reports, and reimbursements promptly.
- Process ED’s credit card reconciliations.
- **Office Management**:
- Oversee the daily operations of the Executive Director’s office, ensuring an efficient and productive work environment.
- Implement and maintain filing systems, both electronic and physical, for easy retrieval of information.
- **Project Coordination**:
- Assist in the planning and execution of special projects and events led by the Executive Director’s office.
- Track project timelines, deliverables, and milestones, ensuring all tasks are completed on schedule.
- Prepare and distribute project-related documentation and communications.
- **Stakeholder Engagement**:
- Liaise with board members, donors, partners, and other stakeholders as required.
- Draft correspondence, reports, and presentations for the Executive Director.
- Organize and manage logistics for board meetings, including minute-taking and follow-up on action items.
**Qualifications**:
- **Education**:
- Bachelor’s degree in Business Administration, Finance, Accounting, or a related field.
- **Experience**:
- Minimum of 3-5 years of experience in an administrative role, with a strong emphasis on financial management.
- Experience working in the non-profit sector is highly desirable.
- **Skills and Competencies**:
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint,).
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong analytical skills and attention to detail.
- Exceptional written and verbal communication skills.
- Ability to work independently and as part of a team, demonstrating initiative and reliability.
- High level of integrity and professionalism, with a commitment to the mission and values of the One To One Africa Children’s Fund.
**Education**:
- Diploma (preferred)
**Experience**:
- Administration: 4 years (preferred)
