The IIE (Pty) Ltd is the registered provider of higher education which is delivered through the following educational brands: Vega, Varsity College, Rosebank College, IIEMSA and IIE HSM.
The Independent Institute of Education’s Central Academic Team (CAT) is responsible for the academic leadership and governance of the work done at the brands while each brand is managed as a business entity by its own divisional management team.
This position is within the central IIE academic team. The IIE, as the registered provider has ultimate responsibility for registration, curriculum, delivery, assessment, and certification of all education on sites of delivery as well as for relationships with external partners particularly in the regulatory and accreditation arena.
**The IIE’s Central Academic Team have a vacancy for an Office Co-Ordinator at The IIE’s offices based in Sandton.**
**Report to**:
The **Office Co-Ordinator** will be supervised directly by the CAT Executives.
**Job Purpose**:
To coordinate and oversee the office environment, manages office tasks and communications, and assists Senior management with key functions as required.
This role plays an important support function for the CAT Senior Leadership team to ensure efficient and effective office operations which includes but is not limited to administrative support.
**Key Performance Areas**:
**Senior Leadership Team Support**
- Support with diary management and coordination of workshops, meetings, and conferences
- Booking of travel as required.
**Finance Support / Administration**
- Processing and tracking of all invoices due for payment according to the required processes
- Loading of and liaising with vendors.
- Collating and processing information related to travel & expense claims.
**Office Coordination**
- Front house management
- Management of office stationery
- Working with AdvTech IT (AIT) regarding the ordering of IT equipment
- Assets and Office management queries
- Events management and coordination as required.
**General Administration**
- Minute taking and consolidation of MANCO and Board reports.
- Ad hoc office administration as required by the Leadership team.
**Qualifications**:
- Advanced Office Management Certificate /Diploma (NQF Level 6) or equivalent

**Experience**:
- 3-5 years’ experience in office coordination and or management.
- Drivers’ License
**Competencies**:
- Must be computer literate especially in MS Office and related software programmes
- Administrative, organisational and interpersonal skills that would promote professional, effective, and efficient communication and information flow.
- Impeccable English verbal and written competency.
- Impeccable communication and interpersonal skills.
- Demonstrated ability to manage self and own output and to work to tight deadlines while retaining impeccable levels of accuracy.
- Attention to detail is a critical aspect of this job.
- Demonstrated ability to administer tasks related to processes and projects.
- High ethical standards and the ability to maintain confidentiality.
- Must be energetic and have the ability to work under pressure.
