**KEY PURPOSE OF JOB**

The Requisitions Clerk is responsible for managing and processing non-bill of material purchase requisitions within the organisation. The role involves receiving, reviewing, and verifying requests for goods and services from various departments, ensuring that all requisitions are complete, accurate, and comply with organisational policies and budgets

**KEY TASKS**

**Receiving and Reviewing Requisitions**

Process incoming requisition requests from departments, ensuring all required information is provided and verifying accuracy

**Data Entry and Record Keeping**

Enter requisition details into the procurement system, ensuring proper documentation and filing for future reference

**Supplier Liaison**

Coordinate with suppliers or vendors to obtain quotes, availability, and delivery times, ensuring cost-effective purchasing decisions

**Ensuring Compliance**

Ensure that all requisitions comply with internal policies, budgets, and approval processes

**Tracking and Monitoring Orders**

Ensure PO’s are placed, follow up on outstanding requisitions and orders, monitor order status, and resolve any issues related to procurement delays, incorrect deliveries, or discrepancies

**Reporting**

Assist in generating procurement reports, providing data on requisitions processed, orders placed, and expenditures

**Communication**

Communicate with internal departments to clarify or follow up on requisition details, ensuring smooth procurement processes

**Maintaining Supplier Records**

Keep updated records of approved suppliers, pricing, and terms, ensuring that the company works with the most reliable and cost-effective suppliers
- **Qualification**:_
- National Senior Certificate
- Revelant Diploma in Finance - Mandatory
- Additional qualification in procurement, business administration, or related fields (preferred)
- **Experience & Knowledge**:_
- At least 2-3 years of experience in procurement, requisitions processing, or a related administrative/finance role.
- Familiarity with procurement systems and processes (advantageous)
- **Skills & Competencies**:_
- Attention to Detail: Ensure accuracy in requisition processing, data entry, and compliance checks
- Organizational Skills: Manage multiple requisitions and maintain proper records efficiently
- Communication Skills: Strong verbal and written communication skills to liaise with internal departments and suppliers
- Problem-Solving Skills: Ability to address procurement issues such as delays, discrepancies, or incorrect deliveries effectively
- Budget Awareness: Understanding of budgets and cost-effective purchasing practices
- Experience with General Ledger Reconciliation and accounts
- Teamwork: Ability to work collaboratively across departments
