**Responsibilities**:
**Output 1**:
Preferred Suppliers List
Ensure approved suppliers list is current
Ensure information is uploaded onto electronic safety system
Ensure all relevant documentation is within expiry date (WCC letter, public liability insurance, BEE status certificates etc.)
**Output 2**:
Compliance Certificates
- Ensure all certificates on file have been uploaded onto electronic system (occupancy, heath permits, electrical COC etc.)
- Assist with obtaining of certificates which are no longer valid (e.g. health permits every 2 years)
- Ensure all certificates for new projects are uploaded onto electronic system
**Output 3**:
Electronic EHS System
- Uploading of basic information for all sites within Group
**Output 4**:
WCC/Injury on Duty Claims
- Ensure all required injury on duty documentation is received, submitted to WCC and filed.
- Update incident log for all workmen’s compensation claims and incident reports
**Output 5**:
Payment of Invoices
- Ensure all invoices are loaded onto GSS system for payment.
**Educational Requirements**:
Minimum requirement is Matric, safety certificate (e.g. Samtrac/UNISA Safety certificate) with 3 to 5 years safety administration experience
**Essential Experience/Skills**
Basic administrative safety knowledge
Creating and maintaining good relationships
Effective and confident communicator at all levels - verbal and written
Excellent organisational skills
Excellent interpersonal skills
Excellent proficiency in Microsoft programmes: Word, Excel, Power-Point, Outlook (including scheduling)
High standard of accuracy, quality and timeliness
Interest in getting to understand the business and its customers
Keen to work as part of a team
Mature outlook
Proactive approach to work
Self-motivated with the ability to meet tight deadlines
Multi-tasking ability
Willingness to take responsibility
