My client based in Somerset West is seeking to employ a Personal Assistant who will provide high level confidential support to the Chief Executive Officer by providing a full secretarial and administrative service. Ensuring that effective planning and administrative systems are in place and maintained efficiently and effectively.

**Key responsibilities**:

- Acting as the point of contact among executives, employees, clients, and other external partners
- Manage the CEO’s calendar and set up meetings
- To proactively manage and coordinate the diary of the CEO by prioritizing and arranging internal and external meetings, ensuring appropriate briefing papers are prepared and provided
- To plan and organize travel and accommodation when required
- Manage Expense Claims of the CEO
- To provide full personal assistant support by dealing with all correspondence and calls, drafting routine letters to a high standard, minute meetings, taking messages and other administrative tasks as required to support the CEO.
- To provide support for Board of Director meetings by ensuring meetings are properly arranged and serviced. This will include drafting agendas, collating papers, and reports, taking minutes and following up action points.
- Supporting the CEO to keep the Board of Director informed about the work of the organisation.
- To service meetings of the Senior Management Team by drafting and collating papers and reports, preparing manageable agendas, taking minutes, and following up on actions points.
- To plan and manage key organisational events such as AGM, Staff ManCom Sessions, Strategy days, Staff briefings and others as required.

**Other Duties may include**:

- Develop skills and undertake responsibilities as appropriate which will fulfil the purpose of the role and support the success of the organization
- Ensure that work is carried out in accordance with the company's values, equality aims, policies and procedures
- Participate and contribute to organizational / team meetings as required
- Provide reports for senior management as required
- Undertake any other appropriate duties as required to support the CEO to enable them to fulfil their role
- Carry out all the duties with complete discretion and a high regard for confidentiality
- Any other duties relevant to the needs of the organisation and as directed
- Run errands as requested

**Requirements and Skills required**:

- Work experience as an Executive Assistant, Personal Assistant, or similar role (3-5 years)
- Excellent MS Office knowledge
- Highly organised with great attention to detail and time management skills
- Savvy with technology and enjoy automating processes
- Thrive in a fast-moving and complex organisation
- Excellent verbal and written communications skills
- Discretion and confidentiality
- Strong interpersonal skills
- Ability to multitask
- Aim to serve with a personal touch
- Minimum Grade 12/ PA diploma or certification is a plus.
- Driver’s license
