Purpose
Efficiently and effectively manage all company-owned and -leased facilities nationwide including warehouses and regional offices

Key Roles & Responsibilities:
Regional offices
- Ensure all facility work orders and custodial services are carried out as planned to provide an attractive and comfortable environment for visitors and staff.
- Provide inputs in preparation of the unit’s budget.
- Manage contractors for cleaning, fumigation, and other custodial services of the warehouse and regional offices
- Liaise with key internal stakeholders and decision-makers in acquisition of properties that best suit the business’s residential, office location requirements.
- Conduct quarterly maintenance checks/ visits across regional offices and warehouse
- Provide support in planning for accommodation of expatriate staff.
- Plan for allocation of staff workspaces across office locations.
- Ensure machines are efficiently used with mínimal breakdowns.
- Schedule and oversee external contractors, e.g. electricians, plumbers, painters, landscapers, etc.
- Ensure facility maintenance and repair activities are carried out in line with health, safety and environment (HSE) standards and legislation
- Schedule and supervise maintenance workers engaged in building upkeep and repair.
- Office security - including issuing of access cards, parking management

Warehouse and inventory
- Implement processes to be followed at the warehouse to ensure accuracy, mínimal theft loss and security of inventory
- Conduct incident investigations as required and provide detailed reporting to management.
- Conduct quarterly maintenance checks/ visits at warehouse
- Perform monthly inventory count to ensure inventory at warehouse is carefully managed
- Reconciliation of inventory at warehouse to D365 records
- Work closely with HSE manager, office manager and IT manager to ensure cohesion across the different offices and warehouse.
- Ensure asset tagging project implemented

Vehicle management
- Vehicle management includes monitoring the adherence to speed limitations for the vehicle holders
- Ensure that the vehicles are serviced in a timely manner according to the service plan
- Relationship management with ABSA for buying additional vehicles, fuel cards and ensuring the timely settlement of those items
- Ensure vehicles are insured and insurance is settled in a
- Ensure generators, vehicles and bowsers are licenced and the licences are renewed prior to expiry
- Ensure that the fuel cards for generators and bowsers are kept up-to-date, once efueling tag implemented ensure accurate reporting.
- Check the fuel cards statements to ensure no anomalies
- Conduct spot checks on the fuel cards to ensure
- Preparation of monthly reports to reflect above

General
- Review the unit’s service delivery process and make recommendations for improvement (where applicable) to the Senior Manager, Facilities & Property Management.
- Collaborate with the Procurement, IT and Legal teams to ensure that effective Service Level Agreements (SLAs) are executed with third-party vendors.
- Coordinate the provision and delivery of consumable items across all facilities.
- Perform other tasks and duties as assigned by the Senior Manager, Facilities & Property Management.
- Role will include quarterly visits to regional offices

- Bachelor’s degree in engineering, building, or other relevant fields.
