**JOB PURPOSE**
We are looking for experienced Para Planner/ Administrator join our dynamic team of professionals, who main responsibility will be splitting between coordinating and overseeing their organisation’s operations i.e. making sure that the office runs smoothly and doing Paraplanning, administration for existing and potential business-to-business (b2b) clients.
**RESPONSIBILITIES, but not limited to**:
1. Client data management:
- Capturing and Submission of New Business
- Maintenance of existing IFA clients
- Responsible for client fact finding and data discovery.
- Responsible for full data update on AtWork, post the financial services process with the client.
- Complete data preparation for client reviews.
- Check and ensure integrity of client data in the various advice tools and CRM’s.
2. Preparation and Client Reviews:
- Check and ensure that all new business are compliant and saved on AtWork.
- Ensure that the latest client data is integrated and refreshed on AtWork.
- Issue new policy documents to clients on instruction of IFA
- Prepare for the client reviews as per the IFA instruction and ensure tool usage for reviews when relevant.
- Be present in all compliance officer meetings with your IFA(s).
- Address all remedial actions from the compliance officer timeously.
3. Operational support:
- Ensure all new business received from IFA is capture and processed timeously within the agreed turn-around times
- Support IFA operationally
4. ATWORK (internal software), IT, Systems and KPIs:
- Ensure proper record keeping in line with business rules and where relevant, legislation & safe storage into AtWork.
- Full awareness and understanding of information available on ATWORK to support the IFA(s).
- Use consolidated client reporting, opportunities & reports to assist the IFA’s and identify opportunities in the client base.
5. Client management and marketing support:
- Attend all client events with IFA’s.
- Host and entertain clients at marketing events.
- Function as a primary point of contact for clients in the financial planning process.
**Required nature of experience**
- Implement the right processes and practices across the organisation.
- Find ways to increase quality of customer service.
- Helping the organisation’s processes remain legally compliant.
- Ensuring all operations are carried on in the appropriate way.
- Analysing clients' needs and researching and recommending suitable products aligned to those needs.
- Preparing of each individual clients’ Financial Reports.
**Skills and Knowledge (essential)**
- Insurance, Investment, healthcare Product and Process knowledge.
- Ability to solve practical problems is essential.
- Relevant tertiary education would be ideal.
- Ability to work independently as well as within a team.
- Excellent planning skills and the ability to work effectively within a fast-paced environment.
- Sound ability to communicate effectively across all levels.

- Know and understand Insurance, Investment products and processes.
- Outstanding organisational skills.

- Excellent communication and customer service skills (Oral and Written).
- Knowledge of organizational effectiveness and operations management.

- Proven work experience as a paraplanner or similar role.

- RE 5
**Minimum applicable experience (years)**
- 4 - 5 years’ experience in the financial services industry.

- Administrative office procedures, practices and equipment: 1 year (preferred)
