**Job Purpose**:

- To assist the Regional Manager, Channel Managers, Account Executives and Sales reps with sales administration, facilitation of customer queries and general office administration including but not limited to: Customer courtesy calls, Co-ordination and tracking of Lab work requests, customer complaints tracking, project warranty administration and archive management. (65%)
- Preparation of reports for Sales Manager (5%)
- To provide Frontline Reception Customer Service Duties and onsite customer contact for support and queries (25%)
- Petty cash management, board room bookings (5%)

**Key Accountabilities**:

- General assistance of all Administration and Paperwork from Regional Sales Managers and Reps
- E-mail, typing of letters, faxing, copying, filing
- Facilitation of customer order
- Assist with CCF’s, GRN’s and PP16’s by generating collating and following up
- Maintain internal documentation and take care of filing related to the sales process
- Provide a high customer service level by building / maintaining customer relationships internally
- Tracking of Sales information/figures - Collate & prepare information for reports
- Performing various tasks on SAP/BI, LWR, CRM systems to provide sales support
- Attend & re-direct all incoming calls, both internal and external
- Distribution of all promotional letters - POPIA compliance
- SRM - purchases updates
- Manage distribution of POS material and brochures to Sales team and customers
- Handle and report BBS, SHE and HSE issues
- Correspondence to customers on specific promotions, issues etc.
- Tracking and managing administrative records related to Project Warranty’s
- Courier and parcel tracking for sales team
- Appointments co-ordinator for sales and technical teams.
- Lead monitoring for dissemination to sales team.

**Experience**:

- Matric with a Diploma in Office Administration supported by 2-3 years relevant work experience ideally gained in a Multi-National Company
- Minimum 2 years relevant administrative experience will be beneficial
- Knowledge of SAP is added advantage
- A comprehensive understanding of Frontline Reception role is essential
- Able to communicate in English & Afrikaans languages
- Previous customer service experience will be beneficial
- Previous CRM experience will be beneficial
