Job Introduction
G4S Secure Solutions (SA), a leading provider of integrated security management solutions, has a vacancy for a Project Coordinator based at our operations in Cape Town, reporting to the National Operations Manager

The successful incumbent is a self-starter with a proven track record in maintaining company policy, adopting best practices, and is able to exercise sound judgement in the pursuit of the achievement of the goals of the organisation, and understanding the role which a Project Coordinator plays within a successful business unit. The incumbent will be expected to be results driven and to live the values of the organisation.

The position requires at least 3-5 years’ experience within a similar environment. Relevant industry related experience would be advantageous.

Main Responsibilities
**Administration Costing and Finance Aspects - Call Outs and Projects**
- Receive Customer order
- Liaise with Sales with regards to Quote, Suppliers Quotes & Costing sheet
- Create the job on Eworks /Evolution
- Consult with PM to confirm if quoted is a workable solution
- Populate the sales quote to formulate Job/Costing sheet on Eworks
- Obtain Competitive pricing from suppliers
- Procure equipment on Eworks/Evolution (Purchase orders, Accommodation/Flights)
- Follow-up with suppliers on equipment deliveries
- Receiving, check and dispatch Equipment to site
- Grv supplier invoiced on Eworks & Evolution
- Project Communication on delivery of equipment & ETA on Installation with PM & Customers
- Facilitate deliveries via courier, import and Export via shipping agents
- Request for EFT payment to Subcontractor if applicable
- Keep track of all billable hours
- Capture Indirect Expenses against Project
- Receive Project documents - Sign Off sheets, Job cards
- Invoice Eworks & Evolution

**Effective Stock Administration - SLA Customers**
- Maintenance of stock levels - transport, ordering, purchasing
- Manage procurement process from placing orders, to generating Pos, Receiving on Eworks
- Distribution of stock as required and ordered
- Maintenance of stock database, stock counts, Variance reports
- Inter branch transfers
- Liaise with suppliers regarding Credit note, Repairs or Discrepancies
- Annual Audit on Stock by External Auditors

**Assist with staff deployment and Daily Operations**
- Deployment of Technicians for Daily Call outs & Installations
- Petty Cash Reconciliation
- Manage Subcontractor expenditure
- Schedule Preventative Maintenance in Absence of PM
- Request for PPE & Uniforms
- Payment & Scheduling of Medicals, Induction, Training, Tool Tagging

**Effective Project Administration**
- Compile and maintain Profitability
- Liaise with management over bottlenecks and requirements
- Cost Provision allocation if required
- Liaise with Customers on Equipment delays, Invoicing Queries
- Follow up on outstanding Call out orders

**Reporting**
- Stock Take & Variances
- Live Update
- Forecast Projection
- Open PO Listing
- Courier fee allocation
- Customer Report
- Bad Debt

**Health and Safety**
- Participate in the design/ development/ review/ implementation and monitoring of the departmental safety plans for each year
- Participate in safety forums created by the company for example safety meetings and safety talks
- Report all safety incidents to the relevant people
- Discuss all safety incidents
- Follow-up on any activities assigned through safety meeting/committee/representative/management
- Attend safety education and refresher programs
- Comply with safety policies and procedures at the workplace
- Distribute safety information as and when required

**Experience Knowledge and Skills**
- Qualification and Experience
- Grade 12
- Relevant Tertiary Qualification recommended
- 2 Years Projects Experience in a similar role (Advantageous)
