**Job Title: Administration Clerk**

**Job Summary**:
**Key Responsibilities**:

- Process orders from customers and manage cash transactions from walk-in and other clients.
- Proactively call customers to secure last-minute orders and ensure trucks are fully loaded for route deliveries.
- Regularly check goods loaded against invoices to ensure accuracy and report any discrepancies to the Group Finance Manager
- Address customer queries regarding their accounts and liaise with the Finance Manager for resolutions.
- Perform daily cash-ups to ensure all sales receipts are accounted for and promptly banked.
- Match payments received with debtor accounts on the point-of-sale system, addressing any discrepancies.
- Reconcile debtor accounts to reflect accurate and current financial status.
- Provide a monthly list of delinquent debtors to the Finance Manager for account suspension.
- Follow up with debtors on unpaid accounts and address any related queries with necessary documentation.
- Request credit notes and manage documentation from the Finance Manager as needed.
- Receive and verify accuracy of documents from creditors, and conduct random checks against delivery notes.
- Reconcile creditor statements and coordinate with the Finance Manager to prepare payment schedules.
- Assist in regular stock takes and participate in inventory management.
- Capture data on various company systems including accounting, inventory, and point of sale.
- Conduct bank reconciliations and maintain thorough financial records.
- Prepare and maintain files for BEE Verification and compliance.- Undertake additional responsibilities as assigned by the Group Finance Manager.

**Qualifications and Skills**:

- Proficiency in point-of-sale and accounting software.
- Strong organizational and time management skills.
- Excellent communication skills and ability to interact effectively with customers and team members.
- Keen attention to detail and commitment to accuracy in financial reporting.
- Ability to multitask and prioritize tasks in a dynamic environment.
- Experience in handling cash and processing financial transactions.
- Understanding of standard accounting procedures and compliance requirements.
- Prior experience in customer service or finance-related roles is preferred.
