Job Overview:
Key Responsibilities:
Greet and Welcome Visitors:
Warmly welcome visitors and clients to the office.
Direct them to the appropriate person or department.
Answer and Direct Phone Calls:
Manage incoming phone calls and transfer them to the relevant individuals.
Take accurate messages when necessary.
Provide Information:
Offer information about the company and its services to visitors and callers.
Ensure a high level of customer service in all interactions.
Handle Mail and Packages:
Receive and distribute incoming mail and packages.
Prepare outgoing mail and coordinate courier services as needed.
Maintain Reception Area:
Keep the reception area clean and organized.
Ensure reading materials are current and available.
Assist with Administrative Tasks:
Support various departments with administrative tasks such as data entry and filing.
Coordinate meeting room bookings and manage schedules.
Communicate with the administrative team to ensure smooth office operations.
Qualifications:
High school diploma or equivalent.
Proven experience in a receptionist or customer service role is preferred.
Excellent verbal and written communication skills.
Proficient in Microsoft Office and excel
Strong organizational and multitasking abilities.
Professional appearance and demeanor.
Skills and Attributes:
Exceptional customer service skills.
Ability to maintain a positive and friendly attitude under pressure.
Strong attention to detail.
Dependable and punctual.
