**Senior Lease Controller**
**Claremont**
Our client, a listed property concern seeks to appoint a Senior Leasing Controller who will be responsible for all administration relating to lease agreements. A minimum of 5 years experience in _**lease administration and financial controls**_ within a leasing environment is essential.
- **Responsibilities**_
LEASE ADMINISTRATION
- Create and maintain tenant files and ensure that all information on tenants’ files are kept up-to-date.
- Assist the Leasing Manager in tenant liaising, including dealing with tenant queries and disputes and ensure the resolution.
- Request credit checks, identify and communicate any items of risk.
- Assist the Leasing Manager with lease cancellations, cessions, agreements etc. maintain a monthly letting report.
- Maintain a register of building inspections relating to vacating and incoming tenants.
- Ensure integrity of the system generated vacancy schedule for the Centre or buildings.
- Maintain a schedule of renewals in progress, leasing activities and risk associated with the renewal pipeline.
- Maintain a record of renewals and new deals in progress and any other leasing activities taking place in the Centre.
FINANCIAL ADMINISTRATION
- Capture all information relating to all lease agreements promptly and accurately in the property system; New Leases, Lease Renewals, Increase in rentals, Recoveries, Termination dates.
- Ensure all write-off’s, reversals, admin fees and tenant deposits are captured accurately and accordance with the company policies.
- Reconcile between lease data and tenants, building and financial information as and when required.
- Income and Recoveries - ensure correctly charged and accounted for and that Adjustment is affected where appropriate.
- Ensure that where tenants are required to pay for expenditure incurred by the Landlord, that proper documentation is completed and that the amounts are recovered in accordance with the Agreement of Lease (this includes vacated tenants).
- Assist in support of the turnover audit project with auditors as and when required.
- Ensure that financial month, year-end procedures and timetable as it relates to the building are implemented accurately and promptly.
- Assist Leasing Manager with preparations of Annual Budgets and workings.
- **Requirements**_
- Grade 12 minimum
- At least 5 years lease administration experience (including the drafting and administration of national leases)
- A relevant leasing qualification will be advantageous
- MS Office - advanced
- Strong administrative skills
- Attention to detail and thorough
- Excellent communication and people skills (telephonic skills)
- Self-driven, confident and self-motivated
- Committed and responsible.
- Ability to manage time and prioritise
- Ability to handle pressure
