An exciting opportunity has become available for Personal Assistant for a renowned public speaker and television presenter. The position is based in Sandton, Johannesburg.

**REQUIREMENTS**:

- University Degree (BA; BSc; BCom)
- 5+ years’ experience in a Personal Assistant role
- Exhibit self-discipline; organisational skills; and resourcefulness
- Pro-active and quick to learn
- Excellent communication and writing skills
- Proficiency in Microsoft Office and latest technologies such as AI (ChatGPT, etc.)
- Own reliable transport and valid drivers’ licence
- Willing to travel locally and internationally

**RESPONSIBILITIES**:

- Confidentiality Assurance: Handle sensitive information with the utmost discretion and integrity. Implement robust security protocols and ensure compliance with privacy laws and company policies to maintain confidentiality.
- Strategic Support: Develop comprehensive analytical reports and dynamic presentations tailored to executive needs, thereby enabling informed decision-making and strategic planning. Use data-driven insights to highlight trends, opportunities, and areas of improvement.
- Schedule Coordination: Expertly manage and synchronize complex calendars, ensuring seamless alignment of professional appointments, business meetings, and personal events. Employ meticulous planning to prevent scheduling conflicts and optimize time management.
- Meeting Logistics: Orchestrate all facets of meeting preparation from securing venues, arranging required materials, to setting up advanced technological needs. Provide reliable documentation by taking detailed notes or minutes when attending meetings.
- Travel Arrangements: Design and execute detailed travel itineraries encompassing flights, accommodations, and locale-specific arrangements. Anticipate needs and preferences to ensure a seamless, efficient, and enjoyable travel experience for both business and leisure purposes.
- Financial Management: Preparation of expense reports, manage budgets, and management of billing and invoicing procedures. Working closely with the various accounting firms and financial planners.
- Project Leadership: Manage projects from conception through to successful completion.
- Event Organization: Plan and execute a diverse range of events, from corporate conferences to intimate personal celebrations. Pay exceptional attention to detail in logistics, guest management, and thematic elements to create memorable experiences.
- Personal Errands: Efficiently carry out personal tasks, such as shopping or item retrieval, with a focus on time management and discretion. Provide personalized services that reflect the preferences and requirements of the individual.
- Research Initiatives: Engage in in-depth research covering business development opportunities, competitive landscape analysis, and specialized personal interests. Utilize a variety of sources and methodologies to provide valuable insights.
- Document Management: Establish and maintain a systematic approach to managing both business and personal documents. Keep records meticulously organized, accessible, and up-to-date, leveraging digital tools and best practices in information management.
- Booking Management: Manage the full cycle of speaker engagements, from initial inquiry and briefing to quotation delivery and booking follow-up. Enhance the reputation and reach of the speaker through strategic marketing and client relations.
- Preparation for Engagements: Prepare detailed and tailored briefings for interviews, speaking engagements, and high-level interactions. Research topics extensively to ensure relevance and provide the speaker with a solid foundation for discussion.
- Network Maintenance: Regularly update and maintain a comprehensive database of professional contacts. Record the details of the last interaction to foster continued engagement and strengthen business relationships.
- Market Research & Competitor Analysis: Conduct thorough research into competitors' products and services. Identify gaps in the market to recommend potential opportunities for differentiation and innovation in product or service offerings.
- BD Assistance: Assist the BD department in generating new business opportunities through targeted research, networking, and relationship building.
- Market Research: Perform detailed market analysis to identify trends and opportunities for growth. Use this information to inform business strategies and adapt to changing market conditions.
- Data Management: Oversee the creation, updating, and maintenance of vital organizational databases. Securely manage a range of data from personnel information to financial records, ensuring accuracy and compliance with data protection regulations.
