Events Manager

**The main purpose**: Ensure that events are coordinated and scripted in line with the client requests and needs for accurate execution of all events whilst complying with company policies and procedures.

**Reporting to the**: Head of Event Logistics

**Key responsibilities will include but are not limited to**:
**1. Event Management**
- Manage the daily operations of event coordination to ensure accurate and smooth delivery.
- Ensure Event Executives upsell the venue rental and services for events where possible.
- Monitor co-ordination of in-house and outsourced suppliers to supply services and goods according to the client’s request and needs.
- Regular engagements and interactions with key divisions and departments as well as service providers to improve service delivery for events.
- Review monthly and quarterly customer feedback reports and provide insight on issues identified.
- Develop detailed action plans to execute strategic initiatives as outlined in the business plan.

**2. Finance Management**
- Oversee and manage the approved division budget and ensure controls of the expenditure against the approved budget allocation.
- Analyse trends, operating requirements, and prepare plans to establish the required operating budget for the Events division.
- Approve requisitions for expenditure ensuring adherence to company policies and procedures.
- Ensure approval of invoices with supporting documents in line with company policies and procedures following approved limits of authority.

Communication with Finance Department to proactively approach accounts payable.

**3. Procurement and Contract Management**
- Ensure that effective procurement policies, procedures and systems are adhered to as per the supply chain management (SCM) policy.
- Formulate the scope for specific tenders for approval by the COO.
- Adhere to the company Supply Chain Management policies, regulations, and procedures.
- Monitor suppliers’ performance against agreed tender requirements and contract.
- Conduct quarterly service level agreement (SLA) reviews with suppliers.

**4. People Management**
- Manage and control outcomes associated with utilization, productivity, and performance.
- Ensure all employees have signed performance agreements.
- Conduct appraisals to measure performance and objective accomplishments against agreed targets and, review goals and set new objectives when required.
- Identify technical / non-technical skills gap and ensure individual developmental plans (IDP’s) are completed. Ensure that staff attend relevant training as per the agreed IDP.
- Manage and ensure workplace diversity.
- Implement company policies and procedures to control/regulate workplace conflict and/or instituting corrective measures to address deviations from policy.
- Work with Human Capital department to recruit staff for vacancies.
- Ensure appropriate on boarding and training for new starters.

**Minimum qualifications and experience**:

- Matric or equivalent (NQF level 4).
- Higher Certificate / Advanced Certificate (NQF level 5).
- Computer literacy on various computer software programs including MS Office.
- Must have at least five (5) years’ experience in managing events and leading a team.
- Managing convention centre events will be advantageous.
- Knowledge and experience of scripting for event to ensure accurate execution.
- Experience in managing staff.
