**Duties & Responsibilities**:

- Attend to visitors in a prompt, professional and friendly manner.
- Ensure general tidiness of the reception area.
- Sign in Contractors, Visitors and Clients as per the Access control Procedure
- Assisting facilities with Access Control cards
- Manage the boardroom bookings, when needed.
- Ensure that the boardroom setup is always appropriate (neat)
- Prior to meetings make sure the room is functional (air conditioner, lights, blinds no mugs left behind).
- Co-ordinate refreshments (coffee and tea) as requested with booking.
- Distribution of incoming mail
- All mail must be delivered promptly from reception.
- Assist with outgoing and incoming mail via courier and deliveries when required.
- File weigh bills.
- File delivery documents
- Assist facilities with office stationery and office.
- Manage levels of stationery in stock.
- Assist colleagues with typing, copying and binding as requested.
- Assist with all other general office tasks as required.

**Skills and Competencies**:

- Computer literate (MS Office).
- General knowledge of Facilities Management services and customer requirements.
- Knowledge of office practices and procedures.
- Knowledge of filing and correspondence procedures.
- Excellent interpersonal skills
- Excellent telephone etiquette.
- Ability to display integrity and resilience.

**Qualifications**:

- Grade 12 Certificate
- Relevant tertiary qualification and/or equivalent experience.
