Junior Office Administrator

**DUTIES & RESPONSIBILITIES**
- Coordinating and scheduling meetings, and appointments, and ensuring timely reminders.
- Organize and maintain digital documents, files, and records. Ensure documents are properly archived and easily accessible when needed.
- Assisting in the preparation of presentations, proposals, quotes, support agreements and other documents.
- Booking travel arrangements (where applicable).
- Taking notes and minutes of meetings (where applicable and when standing in for PM's or HODs)
- Communicating out-of-office consultants to customers, and distributing information and announcements as required.
- Providing first-level contact and conveying resolutions to customer issues (to assist consultants and support).
- Properly escalating unresolved queries to the next level.
- Tracking, routing, and redirecting problems to correct resources.
- Identify areas for process improvement and suggest actionable solutions.
**EDUCATION AND EXPERIENCE**
- Bachelor’s degree in business administration or equivalent.
- 1-3 years of experience in office administration.
- Experience in developing internal processes and filling systems.
- Good analytical skills and ability to work independently.
**CONDUCT COMPETENCIES**
- To perform all duties with integrity, to the highest ethical standards, and in compliance with all relevant legal, contractual, and other requirements as mandated by the Alviva Code of Conduct.
- To keep up to date with the changes in applicable compliance obligations, controls and measures relevant to the role.
