Senior Conveyancing Secretary and Pa to Director

Our client in Sandton is looking for a conveyancing secretary to join their firm.
Having experience and being able to handle volumes of bonds from all financial institutions.
The position is for a conveyancing Paralegal / senior Secretary with 7+ years’ experience in a conveyancing environment with specific experience in bonds. The position will entail attending to all steps to be taken from receiving the bond instruction (from various financial institutions) up until finalising of the files after matters have registered at the relevant deeds office.
Duties include, but are not limited to:
- Inception: Acknowledge instruction, perusal and understanding of loan conditions, performing and interpreting deeds office records, initial contact with client and the linked attorney and opening of the file;
- Preparation of loan documents for signature by client;
- Keeping and maintaining a proper diary system of all current matters;
- Weekly reporting to clients, bankers and consultants and where necessary, liaising with managing agents and linked attorney firms;
- Preparing lodgement documents and attending to the necessary lodgement arrangements;
- Ensuring all loan - and related conditions are met in order for matters to be registered successfully at the relevant deeds registry;
- Attending to all financial aspects of the transactions, including collecting costs/disbursements from clients, passing invoices and attending to general accounting queries;
- Ensuring that security documents are returned to the bank as soon as possible after receiving delivery from the deeds office.
**Skills and knowledge**
- Thorough understanding of conveyancing processes in general, i.e. transfers, bonds, cancellations etc;
- Understanding of various loan conditions, title conditions and being able to interpret deeds office records and surveyor diagrams to ensure compliance with bank and deeds office rules and requirements;
- The ability to attend to the bond instruction independently from inception up until registration at the relevant deeds office and to effectively manage high volumes;
- Excellent communication skills and ability to liaise with clients in a professional and effective manner;
- Excellent writing skills required for preparation of correspondence to clients, banks and linked attorneys;
- Good command of the English language;
- Team player with good interpersonal skills, showing an eagerness to assist others within the department;
- Typing speed of 45+ words per minute;
- Meticulousness and attention to detail, managing a neat and organized work station;
- Experience in transfers and cancellations will be an added advantage;
**Qualification/s**
- Matric or equivalent qualification.
- Secretarial Diploma with excellent typing skills;
- 7+ years’ experience in conveyancing environment, specifically bonds.
