**JOB SUMMARY**

All Westside Trading’s Work Instructions (WI), policies and procedures relevant to this job function must be adhered to, always. Your Job description is not limited to the responsibilities below and you will be required to perform other reasonable tasks and assume other reasonable responsibilities in line with your position.

**MAIN JOB FUNCTIONS**

**1.** Be the first point of contact for all safety-related queries and concerns to both employer and employees as well as responding in a timely and accurate manner ensuring complete follow-through.

**2.** Provide administration support to the H&S Manager and the H&S team

**3.** Maintaining of the SHEQ management system; Assist with drafting of procedures & policies related to SHEQ management system.

**4.** Administration of H&S Department Inbox - Accident forms; referrals and general queries that are sent, redirecting queries to members of the health and safety team and or appropriate parties as required.

**5.** To deal with telephone queries, directing calls to the appropriate party, taking messages, dealing with the enquiry in a professional and efficient manner.

**6.** Assist the HSE Manager with the management of workers compensation and injury management documentation and claim files.

**7.** Administration of NCR Documentation

**8.** Assist with arranging and scheduling of internal Audits; Assist in completion of all relevant internal audits

**9.** Ordering and administration of all safety related equipment, tools etc. needed.

**10.** Coordination of yearly medical updates and completion of necessary paperwork for payment with the Accounts Department.

**11.** Administration and maintenance of the Share Drive - Ensuring Employee Profiles are updated, i.e., Medicals, Licenses etc.

**12.** Take minutes at H&S & ISO Meetings

**13.** Prepare reports and documents; accurately document and record information for the H&S Manager as instructed

**14.** Maintain the corporate roster for HSE personnel movements.

**15.** Reports and maintains statistical safety data and trending up to date.

**16.** Establish and maintain HSE registers, databases, and statistical data entry.

**17.** Ensure the efficient distribution of internal and external HSE alerts, as directed by the HSE Manager.

**18.** Ensure that the work environment is risk & hazard free by reporting and recording any safety, health and environmental incidents occurring on site to your superior immediately. It is also your responsibility to identify any unsafe acts and conditions in your area of concern.

**19.** You must ensure that your subordinates are aware of the hazards & risk and trained to conduct their work in a safe manner by following the safe operating procedures.

**20.** Assist with office inspections, hazard assessments, meetings, and incident investigations

**21.** Toolbox talks and Safety Inductions

**22.** Promote a positive culture of health and safety in the workplace

**23.** Maintain data integrity and administrative accuracy

**24.** Other duties as required.

**Qualifications, Knowledge, and Experience**:

- Matric
- Relevant certificates, Diploma/ Degree (Advantageous).
- Proven experience as a Safety Administrator or other Safety position.
- Knowledge of ISO 45001, ISO 14001 & ISO 9001 management systems (Advantageous).
- Understanding of OHS legislation.
- Drivers License (Advantageous)

- Proficient in MS Office
- Proficient in English
- Strong admin ability
- Highly developed attention to detail.
- Excellent communication skills both verbal and written
- Good Planning and Organizational Skills
