As a Payroll Administrator, you will play a pivotal role in managing the company’s payroll processes, ensuring compliance with industry standards, and liaising with various stakeholders to ensure that all payroll-related matters are handled efficiently.
**Key Responsibilities**:
- **Payroll Processing**:
- Administer and process the monthly payroll for all employees in a timely and accurate manner, ensuring alignment with the correct wage structures, tax deductions, and benefit contributions.
- Ensure accurate recording of leave, overtime, bonuses, commissions, and any other adjustments.
- **Bargaining Council Compliance**:
- Ensure payroll compliance with the relevant **Bargaining Council** agreements and sector-specific labor regulations, particularly within the **road freight** industry.
- Review and interpret Bargaining Council agreements, ensuring that all terms (e.g., wage increases, allowances, and working conditions) are correctly applied to employees.
- **SAGE VIP Payroll System**:
- Utilize **SAGE VIP** payroll software for processing, generating reports, and maintaining accurate payroll records.
- Troubleshoot and resolve any issues with the SAGE VIP system and ensure that all data is kept up-to-date and accurate.
- **Reporting and Documentation**:
- Generate and distribute accurate payroll reports, including tax reports, payslips, and year-end documentation, ensuring that all payroll records are correctly archived.
- Assist with statutory reporting, including UIF, SARS, and pension fund contributions.
- **Employee Queries**:
- Address and resolve any payroll-related queries from employees promptly and professionally.
- Ensure effective communication with employees regarding payroll issues such as deductions, bonuses, tax filings, and leave balances.
- **Compliance & Legislation**:
- Stay up-to-date with relevant legislation and regulations affecting payroll, including tax laws, the Basic Conditions of Employment Act (BCEA), and **road freight sector-specific agreements**.
- Ensure adherence to payroll deadlines and compliance with all statutory requirements (e.g., PAYE, UIF, SDL).
- **Administrative Support**:
- Assist with audits and provide any necessary documentation related to payroll for both internal and external purposes.
- Maintain accurate employee records, ensuring all payroll data is correctly entered, updated, and securely stored.
**Required Qualifications and Experience**:
- **Minimum 5 years of experience** in payroll administration, with a strong background in the **road freight** sector and familiarity with **Bargaining Council** policies and procedures.
- **Solid experience with SAGE VIP Payroll** software is essential.
- Knowledge of the **Basic Conditions of Employment Act (BCEA)** and other South African labor legislation, with a specific focus on the **road freight sector** and Bargaining Council agreements.
- Strong understanding of **taxation** and statutory requirements, including **PAYE**, **UIF**, and **SDL**.
- **Matric (Grade 12)** with relevant **Payroll or Accounting qualifications** (e.g., a diploma in Payroll or Financial Accounting) is preferred.
**Key Skills**:
- **SAGE VIP proficiency**: Extensive experience using SAGE VIP payroll software, including generating payroll reports, updating records, and troubleshooting payroll system issues.
- **Attention to detail**: Ability to work meticulously to ensure accuracy in payroll processing, tax deductions, and compliance with company policies.
- **Analytical Skills**: Strong problem-solving skills with the ability to resolve payroll discrepancies and employee queries effectively.
- **Communication Skills**: Excellent written and verbal communication skills to interact with employees, management, and third-party stakeholders.
- **Time Management**: Ability to manage multiple tasks and deadlines effectively, ensuring payroll deadlines are met consistently.
**Additional Desired Skills**:
- Experience with **HR systems** or related software would be advantageous.
- Familiarity with **tax compliance** software (e.g., SARS eFiling) is a plus.
- A background in **HR administration** or **finance** is beneficial.
