**Job Summary**

**Primary Duties**

**Reception Duties**:

- Warmly welcome clients, visitors, and employees, creating a positive and professional first impression.
- Efficiently manage the front desk. Directing inquiries to the appropriate deparmtnets or individuals.
- Answer and transfer phone calls, take messages, and address general inquiries promptly.
- Handle incoming and outgoing mail and packages with precision.
- Diary management of mulitple specilaists, theatre time and follow ups.

**Billing and Invoicing**
- Dealing with medical aid billing and bureau.
- Maintain meticulous records for products and services provided by the organization.
- Generate accurate and timely invoices and dispatch them to clients promptly.
- Collaborate with the finance department to facilitate seamless payment processing.
- Resolve billing discrepencies and issues professionally and expediently.
- Assist clients with billing-related and provide necessary documentation.

**Adminstrative support and Coordination**
- Provide general administrative support, including data entry, filing, and record-keeping.
- Collaborate with other departments to assist with administrative tasms when required.
- Ensure office supplies are well stocked, monitoring inventory levels.
- Schedule appointments, meetings and maintaining an organised calendar.

**Customer service**
- Exhibit exceptinal customer service skills, catering to the needs and concerns of clients and visitors in a courteous manner.
- Manage client inquiries and complaints, redirecting them to the appropriate resources and following up when necessary.

**Minimum Requirements**
- 2 - 3-year qualification with a reputable institution
- Knowledge of billing and invoicing processes is preferred
- Previous work experience in a medical environment is essential
- Strong computer skills
- Zenoti, GoodX knowledge will be advantageous
- Maintain a professional appearance and behaviour at all times.
