**Purpose Statement**

To supervise the effective and efficient planning, organizing, leading and controlling of Committee Administration support to Standards Writers, SABS committees and chairpersons of SABS committees.

**Minimum Requirements**:
National Diploma / Diploma in Administration, Office Management or a related field (NQF Level 6)

5 years relevant work experience in a relevant field

2 years team leader / supervisory experience

**Duties and Responsibilities**:
**Functional Management**
- Supervise the committee administrators including the coordination of standardization committee activities in the division.
- Plan, schedule and supervise committee resources to support
the standards development.
- Develop and maintain a proper system to ensure that documents are managed appropriately.
- Analyse and report on relevant trends and make recommendations where required.
- Ensure that all contact information is kept updated.
- Ensure that the committee meeting calendar is updated and communicated to all relevant stakeholders as per standard operating procedures.
- Ensure that administrative support is provided to ensure that committee meetings are facilitated in a professional manner.
- Ensure that all committees are assigned to a committee administrator for coordination and management.
- Ensure that the committee meetings are planned on time, and that relevant documents are sent to committee members as per standard operating procedures.
- Ensure that all information on the relevant SABS Standards systems is up-to-date.
- Ensure that all logistics and other relevant administrative processes are coordinated and concluded to ensure the professional operation of all committees.
- Liaise with stakeholders to ensure that committees are maintained and function at an optimal level.
- Ensure that all committees and their stakeholders are kept up to date with trends and developments that are relevant to the committee are communicated.
- Ensure that high quality minutes are circulated and that all actions are implemented and documented.
- Ensure the overall management, including cleanliness and professionalism and booking of the relevant committee rooms.

**Risk and Compliance Management**
- Responsible for the coordination and maintenance of quality risk management in line with ISO/SANS 31 000, Accreditation and regulatory requirements.
- Monitor changes in the regulatory environment and ensure that appropriate operational controls are implemented to address new requirements.
- Support and provide evidence to all internal and external audit, Accreditation and regulatory requirements.
- Oversee the maintenance and enforcement of related Service Level Agreements to minimise business risk and ensure business continuity.
- Ensure adherence in the team to all relevant laws, policies and Standard Operating Procedures throughout the organisation

**People Management**
- Proactively supervise all resources in order to ensure that the operational plans are effectively executed.
- Maintain excellent human capital performance through employee empowerment, skills development and retention and succession planning within the team.
- Maintain an environment where employees respect and adhere to company standards of integrity and ethics by integrating these values into all processes, procedures and
practices.
- Contribute to diversity management initiatives.
- Implement a learning culture within scope of control.
- Execute performance management in line with the SABS policy within the team, and address performance challengesand develop subordinates to meet the expected performance
standards.
- Provide support in recruiting and retaining key talent and other critically skilled personnel to manage internal processes and supervise the tactical, daily analytical work of the team..
