Medical Receptionist

**Duties**:
**Reception**:
- Serve patients, by greeting them in a friendly manner and making eye contact, helping them schedule appointments, and maintaining records and accounts
- Help patients in distress by responding to emergencies.
- Answer the phone as soon as possible.
- Ensure that all patients and telephone callers to the practice are greeted and helped kindly and professionally
- Dealing with patient inquiries efficiently and in a friendly manner.
- Maintains patient accounts by obtaining, recording, and updating personal and financial information.
- The receiving and recording of telephone messages taking appropriate action.
**Making Appointments**:
- When booking an appointment, record booking directly on the medical systems and check whether there are outstanding fees and inform patients about the outstanding fees.
- If patient is not on the medical systems, record correct initials, surname and cell phone number in the appointment book, then
- Inform new patients to arrive at least 15 min earlier to open file on the medical system
- Double booking for procedures.
- Bookings according to Doctor on duty’s instruction.
- Maintain confidentiality of patient records by utilising shredder, speaking quietly on the phone and not leaving confidential information where it can be viewed by public. Whenever possible conduct confidential discussions away from the reception desk.
- A Bad debt patient can see the Doctor if payment commitment was made/is made.
- Private patients must always pay before seeing the Doctor, the amount may vary depending on if an extra procedure or medication administered
- Walk-in patients much be accommodated especially when it is an emergency and, in this case, Doctor must be notified immediately.
- Never say that the Doctor is too busy, or bookings are full, if patient needs to see Doctor urgently, and cannot come the next day, speak to Doctor
- Scan Results and Reports that were not automatically sent to the patient medical system file.
**Qualifications**:
- The minimum qualification required for this job is a matric (Grade 12).
- **Additional**: Drivers Licence and own vehicle, Business English, and African Languages - beneficial
**Experience**:
- 3-5 years relevant role experience with specific experience in:
- Microsoft Office programs (Excel, PowerPoint, Word, etc.)

- 08H00 - 17H00 - Monday to Thursday
- 08H00 - 14H00 - Fridays
**Remuneration**:
- R 12 000.00 - R 13 500.00 CTC per month (Before deductions)
