**Scope & General Purpose**:

- Responsible for all tender administration, database and vendor management.
- Ensure delivery of the tender submissions while checking for integrity of submissions and maintaining professionalism in the department. To facilitate the efficient administration of tenders, tender reviews and associated tender documentation

**Minimum requirements**:

- Matric
- Minimum of 1 years related procurement and administration experience
- Well-spoken coupled with excellent communication skills
- Computer literate (Outlook, Word, Excel etc.)
- Valid Drivers License

**Duties**:

- Identify and source new tenders daily on various tender sourcing platforms (e.g. On-line tenders, google, tender portals, etc.) that fall within our CIDB grading (core business), scope of work, functionality, BBBEE Level, etc.
- Administrative support on the decision to tender process (To review tender document)
- Tender database registration completion (Municipal, Parastatals, Private clients, etc.)
- Update database of new clients and targeted projects.
- Act of first point of contact between the clients and the company
- Ensure professional client relationships.
- Attend tender brief meetings with clients.
- Ensure timely liaison with clients.
- Completion of tender returnable documentation at pre-tender and award stage.
- Facilitate the efficient administration of tenders, tender reviews and associated documentation.
- Ensure that all company supporting documents are included in the tender document.
- Manage tender correspondence in line with internal and external guidelines
- Ensure all tender compliance documents are in place.
- Ensure all company documents/details are up to date i.e. CIDB, BBBEE, etc.
- Arrange pre-tender meetings (inter-departmental meetings with the Procurement, Financial, HR, SHEQ and Technical department).
- Manage the tender administration milestones for which the tender department is responsible for.
- Identify which administrative systems that is needed to be implemented, create and compile.
- Provide accurate tender communication to management.
- Ensure that tender finalisation and submission date/ tender deadlines are met.
- Publish tender results and contract awards.
- Arrange and facilitate tender compliance handover meeting with various departments.
- Delivering accurate tender progress reports

- Computer literate and proficient (Excel, Outlook, Word, PowerPoint)
- Factors that influence the outcome of the tender process
- Literate with good mathematical knowledge.
- Relevant experience in a Tendering / Procurement Tender training
- Technically minded individual with experience in completing small to large scale tenders
- Tendering / Procurement legislation (BBBEE, CIDB, etc.)
- Understanding the different "tender terminology
- Understanding the practical completion process and preparation of a tender
- Understanding the rules of tendering
- Undertaking a Tender/No Tender exercise to decide whether to make a submission or not
