**Purpose of Role**:
To provide efficient support and coordination of HR programmes, policies and procedures. Contribute to enhancing talent experience, engagement and customer service excellence through Recruitment, On-boarding & Off-Boarding, Employee Relations, Payroll Management, Performance Management and Learning & Development, Wellness and Talent Engagement initiatives.
To be successful in this role, you will need to have passion to motivate and work with others as a team player. You would also need to be analytical, adaptable, professional and possess strong communication, advocacy, presentation, reporting and interpersonal skills.
**Objectives of Role**:
**Recruitment, On-boarding & Off-Boarding**
- Provide operational support iro the recruitment process in line with Shiriki Shared Services.
- Provide administrative support to ensure a seamless end-to-end process.
- Assist in creating / updating Job Descriptions based on briefs from hiring managers.
- Facilitate the offer letter requirements with shared services.
- Co-ordinate the onboarding process in relation to the new talents and support the line manager with the necessary process to be followed.
- Arrange probationary reviews for all talent - 6 months post-joining.
- Facilitate the Confirmation of probation letters and signoff.
- Set up and document exit interviews and log off-boarding requirement on Shared Services desk for all leaving talent timely.
**Employee Relations**
- Advising and guide management and talent on labour relations matters related to BCEA, LRA, EEA and SDA as well as FW Code of Conduct & Policies.
- Consult with the Talent Manager to effectively manage and resolve Labour relation matters at appropriate levels.
- Stay abreast of all labour legislation and evolving needs of Funda Wande and its talent, track timely completion and reporting thereof.
- Assist with procedures and preparations relating to grievances and disciplinary interventions where appropriate and/or as necessary.
**Payroll Management**
- Coordinate HR data management metrics in line with applicable statutory reporting requirements.
- Ensure that the HR dashboard management and records are kept updated (i.e. Talent Movements, LR cases, PMP, L&D, Wellness, Contracts and Probation Data) and available (on G-Drive) for timely reporting/submissions.
- Process all invoices and ensure timeous payments to vendors.
- Ensure payroll input sheet data is completed accurately and log via shared services desk for processing, monitor changes and ensure timely submissions.
- Setup monthly internal payroll discussion meetings.
- Facilitate comms in relation to any payroll queries, changes, etc.
- Attend monthly Shared services payroll meetings.
**Performance Management and Learning & Development**
- Effectively support and help co-ordinate the end-to-end performance management processes; tracking and reporting timely.
- Coordinate learning and development initiatives and ensure seamless roll-out thereto in collaboration with line managers, talent and service providers.
- Compile learning and development reports in compliance with SDA, EEA, etc.
**Wellness and Talent Engagement**
- Setup calendar for and coordinate Talent Connect, Wellness, Year-End and related initiatives on a quarterly and year-end basis respectively.
- Co-ordinate the communication plan for Talent Connect, Wellness, Year-End and related initiatives in collaboration with the Communications Unit, Regional Offices and working with service providers.
- Help monitor Funda Wande culture so that it supports the attainment of our goals and promotes talent engagement and retention.
- Facilitate referrals to and support required from ICAS.
- Maintain confidentiality of all human resources-related information.
- Assists with employee communication and feedback through such avenues as meetings, suggestion programs, employee satisfaction surveys, newsletters, employee focus groups, one-on-one meetings, etc.
**Experience and Qualifications**:
- 3-year Relevant degree and/or diploma.
- Minimum 3 years’ experience in a similar role, HR generalist experience, with strong labour relations experience.
- A strong customer centric approach with a high service delivery mind set.
- Proficiency in MS Suite, particularly working with data in Excel.
- Strong organizational and planning skills and ability to communicate.
- Report writing skills.
- Ability to perform tasks meticulously with a fine attention to detail (accuracy is key).
- Excellent communication & interpersonal skills.
- Strong employee relations knowledge and experience.
