Purpose & Overall Relevance for the Organisation
Manage and administer the full payroll function of adidas South Africa.

Key Responsibilities:
Payroll:

  1. Manage the end-to-end payroll function, which includes:
  2. Managing and setting payroll timelines with key stakeholders.
  3. Plan, direct, supervise, and coordinate work activities, workload, and distribution of responsibilities between the payroll team members.
  4. Manage monthly payroll processing for both back office and retail employees on SAP using the payroll checklists.
  5. Managing the processing of retail hours and overtime from the Eco-time system (time and attendance system).
  6. Running time evaluation for the full time and part-time payrolls.
  7. Creating the Bank payment file and encrypting the file.
  8. Responsible for the management, delivery, and support of Global payroll related projects.

Administration:

  1. Maintenance of employee personal files and data maintenance in SAP as well as hardcopy files where applicable.
  2. Managing and administering employee benefits and annual changes i.e. Hollard beneficiaries nominations forms, pension fund bi-annual changes, medical aid, car benefits etc.

Reporting:

  1. Generate monthly payroll variance reports during payroll review.
  2. Generate and reconcile payrolls against supporting documentation (Journals, PDME, Net payment reports) for sign off.
  3. Create monthly WCA, GL, staff loans, leave provisions reports.
  4. Monthly submissions to the Department of labour – UIF declarations.
  5. Monthly EMP201 submissions to SARS, which includes mid-year and annual tax year end submissions.
  6. Monthly payroll reconciliation of 3rd party payments and managing reviews.
  7. Monthly 3rd party payment summary.
  8. Quarterly stats submissions.
  9. Annual return of earnings submission (Workman's compensation) and acquiring of LOGS (letter of good standing).
  10. Generate EE reports.
  11. Adhoc payroll reports to assist with business requirements.

System Maintenance:

  1. Manage and maintain payroll changes in SAP test environment and Live / Production environment, which includes however not limited to:
  2. SAP annual updates and testing.
  3. Annual statutory tax tables update and testing.
  4. Annual employee benefit changes and testing, to be ran parallel in testing processes on SAP RHR before moving into SAP production.

Risk Control:

  1. Minimise risk within the payroll function by applying accuracy and attention to detail when processing payroll.
  2. Accountable for maintaining payroll compliance and governance, by maintaining payroll controls.
  3. Support both internal and external audits. To assist in audit operations and implement audit recommendations.
  4. Investigate all payroll errors and take appropriate corrective action timeously.

Policies and Procedures:

  1. Ensure that all policies are adhered to according to business requirements within the payroll function.
  2. Provide specialist input and guidance to policy updates and or the writing of new policies.

Projects:

  1. Lead continuous improvement and standardization of all payroll processes and systems.

Qualifications:

  1. To perform this job successfully, an individual must have completed a relevant qualification and 5+ years Payroll experience (of which at least 2 years should be in a people leader role) in a medium-large organization.

Skills and Abilities:

  1. SAP payroll experience is essential.
  2. Accounting knowledge is beneficial.
  3. Ability to work analytically.
  4. Ability to communicate effectively in English, both written and oral.
  5. Attention to detail and ability to work at speed but with accuracy.
  6. Understand and manage risk with the right sensitivity.
  7. Utmost confidentiality and integrity with a high degree of maturity and professionalism.
  8. Good administration and organisation skills.
  9. Ability to monitor outstanding items to ensure closure.
  10. Good communications skills and ability to interact with all levels within the organisation.
  11. Ability to take initiative.
  12. Ability to work independently and proactively whilst leading a team.
  13. Strong computer literacy skills – with advanced excel.
  14. Ability to work under pressure in an ever changing, demanding environment. Responding appropriately and timeously to internal and external customers.
  15. Customer orientated, approachable and strong interpersonal skills.
