Ensure that all accounts and related tasks processed according to laid-down procedures and within specified timeframes, ensuring that all business conducted in accordance with Spec-Savers' values and always focusing on fulfilling Spec-Saver's commitment to providing service excellence to customers.

Related experience:

  • At least five years experience in an Administration/Dispensing/Optical position.

  • Additional functions and or duties may be required.
Duties and Responsibilities

It is an essential part of this function that information calculated and input accurately and ALL necessary information required by Calico, Medical Aids and PPN filled in the appropriate field on the computer. The outcome of incorrect information is likely to be rejection by the Medical Aid or PPN, which slows down the payment process and will view, in a most serious light.

Where found that incorrect processing and errors are the norm not the exception, the Practice Manager must report to Superiors immediately and corrective Disciplinary action implemented.

  • Monthly Statements: Ensure that monthly statements are prepared ACCURATELY as per laid down procedure and submitted timeously.
  • Medical Aid claims: Ensure that all claims submitted correctly and timeously to the Medical Aids as per laid-down procedures.
  • Account payments: Receive payments and process receipts ACCURATELY according to Calico receipting procedure; process refund to customers and Medical Aids. Process receipts for direct deposits into bank account from Remittance Advices received and for Medical Aid batch payments.
  • Debtors: Follow-up outstanding Debtors according to a laid-down procedure.
  • Ensure all claims submitted timeously, CORRECTLY, and that all rejected claims re-submitted with the least possible time delay.
  • Creditors: Process, file and reconcile Creditors' invoices and statements ensuring that all Stock entered onto Calico as per laid down procedure; present Creditors to Accountants for payment.
  • Account Queries: Assist customers and Medical Aids with account and refund queries ensuring the least possible delay, aggravation, and frustration to the customer.
  • Banking: BANKING MUST BE DONE DAILY.
  • Petty-Cash: Maintain and summarise petty cash ACCURATELY as per set laid-down procedures.
  • Checklists and Reporting: Ensure that daily, weekly, and monthly checklists and reports are completed ACCURATELY and NEATLY to lay down procedure and time frames and that the reports are forwarded to appropriate recipients.
  • Finalization of job: Ensure that PD's, Seg heights and any other measurements taken.
  • Adjustments and repairs: Conducting any adjustments and repairs to spectacles that are necessary. NB: if customer brings in 'own' spectacles for adjustment, imperative to ensure that customer understands it is "AT OWN RISK."
  • Dealings with laboratory/suppliers: Ensure that all dealings with laboratory/suppliers conducted in an efficient and courteous manner. Should any problems be encountered with the laboratory/supplier these are to be brought to the immediate attention of your store owner.
  • Dispensing: Ensure that spectacles/lenses meet prescription requirement.
  • Job tracking.
  • Stock Control: Reconcile the number of frames sold with the number of gaps.
  • Flexibility: The Practice Manager could be required to perform other functions to those as set out in this Job Description, examples of such, though not limited to below:
  • Training: Ensure that relevant knowledge constantly updated by conducting weekly training sessions also attending the training sessions conducted by Head Office via Teams platform when required.
  • Front Line: This includes the prompt answering of telephone calls; scheduling of Appointments; assisting customers with selection of frames; ensuring that customer queries and complaints managed.
  • Stock Control: Be present at stock-take and lead this process monthly in-store. Also ensure that stock levels replenished timeously.
