Job Details Work Schedule: Monday–Friday, 40 hours/week, 8:00–5:00 PM Mountain Time (flexible for urgent items) Work Arrangement: Remote with Mountain Time overlap Job Type: Full‑time Locations: Philippines, LATAM (Mexico, Colombia, Brazil, Argentina), and other remote regions with strong English communication and relevant experience Role Overview The Executive Assistant supports the CEO(s) of two growing AgTech businesses by driving operational excellence, managing cross‑functional workflows, and enabling executive focus on high‑impact priorities. The role requires accuracy, follow‑through, and structured thinking in a fast‑paced, entrepreneurial environment. Your Impact By optimizing calendar management, communication flow, and operational processes across multiple entities, you will enhance executive productivity, reduce bottlenecks, improve reporting, strengthen client relationships, and support strategic initiatives including light M&A activities. Core Responsibilities Manage the CEO’s calendar, priorities, and time allocation to ensure maximum productivity. Organise inboxes, flag high‑priority items, and draft clear, professional communications. Coordinate meetings, agendas, and follow‑ups with internal and external stakeholders. Track deadlines, commitments, and action items to ensure timely execution. Maintain proactive oversight of ongoing projects and ensure on‑time delivery. Maintain and refine SOPs, documentation, and administrative workflows. Support operations across both business entities including vendor coordination and task management. Facilitate team communication, shared workspaces, and progress tracking systems. Streamline recurring workflows and support cross‑functional operational processes. Draft and polish emails, summaries, and communication briefs. Maintain strong professional rapport with growers, partners, and other stakeholders. Prepare talking points, meeting summaries, and internal updates. Conduct industry, competitor, and market research to support executive decision‑making. Compile concise briefs, summaries, and actionable insights. Support reporting on product performance, market trends, and strategic opportunities. Assist with early‑stage due diligence and preparation of materials. Maintain organized documentation and track communication with potential targets. Support ad‑hoc operational or business development initiatives. Requirements Must‑Haves (Required) Previous experience supporting C‑level executives, ideally in fast‑paced or multi‑entity environments. Excellent verbal and written English communication. Strong proficiency in Microsoft Office and AI research/writing tools. Demonstrated ability to manage competing priorities with urgency and precision. Strong analytical and research capabilities with the ability to synthesize information. High levels of discretion, confidentiality, and professionalism. Highly organized, proactive, and consistently engaged across multiple workflows. Nice‑to‑Haves (Preferred) Familiarity with agriculture, AgTech, biotech, or scientific products. Experience supporting M&A, investor relations, or due diligence processes. Experience with Amazon Seller Central or Shopify. Spanish language ability (for informal communication or occasional translation). Exposure to e‑commerce or financial platforms such as QuickBooks. Tools Proficiency Must‑Haves (Required) Gmail, Outlook, Zoom, WhatsApp Google Workspace, Microsoft Office QuickBooks ChatGPT, Perplexity, Claude Notion, CRM platforms (Pipedrive or similar) Nice‑to‑Haves (Preferred) Amazon Seller Central Shopify Additional AI or automation tools Benefits Competitive Salary – based on experience and portfolio quality.
