The above-mentioned position is available in the Office of the CEO Department. The purpose of the job is to Manage protocol and etiquette by rendering professional support to facilitate the visit of officials/dignitaries, important ceremonies and functions at the implementation level. Develop, implement and monitor protocol strategy, plans, including dynamic and proactive state visit protocol programmes. 1. Facilitate and coordinate protocol-related services including reservations for the protocol visits. 2. Review organisational protocol arrangement and frameworks, aims and objectives to identify Protocol training needs and requirements. 3. Coach personnel on protocol logistics, when necessary. 4. Manage the compilation of weekly protocol schedule for the organisation. 5. Attend stakeholder meetings and report on relevant agenda points. 6. Design and monitor systems related to flight clearances, diplomatic passports of stakeholders, and the communication centre. Monitor all incoming and outgoing state visits, arrangements, bookings and logistics timeously, and in a well coordinated and professional manner. 1. Ensure there is a schedule of outgoing/incoming visits by high level stakeholders, and responsibility for arranging the visits on a project basis have been assigned. 2. Ensure that preparatory meetings are scheduled and delegate chairmanship for all visits. Design and monitor systems to ensure : timeous communication and submissions for approval of visitor trips and requests, working in liaison with the relevant departments (i.e. Events Management unit in the Marketing Department). Requested trip and events/parking requests approvals are attended to. Programmes/ Packs (including attendees and officials) are distributed to relevant role players. Communication specifying courtesies, guidelines, and requirements with regards to logistical arrangements has been forwarded to all visiting stakeholders. Receive debriefing report from project leader and forward to Head in the Office of the CEO/ relevant key stakeholders 1. Approve arrangements related to accommodation, transport, and programme arrangements, and advise where necessary. 2. Manage assigned high level visits 3. Manage and monitor the compliance and revision of procedures, guidelines and policies on incoming and outgoing visits, and the communication of amendments to all role players. 4. Manage presentations on incoming and outgoing visits during Protocol workshops presented by the Office of the CEO. 5. Ensure that all approved gifts for stakeholders and guests are procured in terms of applicable policy guidelines. Bachelors degree or equivalent tertiary qualification (NQF 7) Minimum of 5 Year`s extensive protocol and events management experience Protocol and stakeholder management experience will be an advantage. DIPLOMACY Conduct relations with stakeholders and guests in accordance with Company policies. NETWORKING: Identify key contacts across the spectrum of operation. Open communication channels with key contacts COMMUNICATION Communicate clearly, concisely, and effectively with people on all levels, internally and externally. COMPUTER SKILLS: Demonstrate adequate proficiency with regards to communication systems. NEGOTIATION: Demonstrate effective negotiating capability. PROBLEM SOLVING SKILLS: Demonstrate an analytical approach and practicality as regards outcomes. LANGUAGE PROFICIENCY: Demonstrate the ability to effectively convey and appreciate work-related concepts in the language in question. Competencies and Attributes : In- depth knowledge of government-wide protocol. In- depth knowledge of RIM policy and procedures related to events management, and communication and stakeholder management Knowledge related to operating procedures regarding international travel and accommodation. In- depth knowledge related to flight clearances, visas, and diplomatic passports. Laws and procedures related to firearms clearances. High level of proficiency in using MS Office products. High level of stress tolerance and able to maintain high work temp and to attend to various matters simultaneously. Proficient in developing and presenting training material. Be able to communicate with high profile individuals. High level of managerial skills. Adaptable in terms of working hours and prepared to travel extensively.
