Job Description A detail‑oriented Sales and Marketing Coordinator who supports the Sales and Marketing Manager and coordinates sales site inspections, administration duties, budget tracking, and client tracking. Strong admin skills and experience in marketing or sales coordination are required. Responsibilities Support Sales & Marketing managers to improve productivity by arranging site inspections and keeping support material up‑to‑date. Handle urgent calls, emails and messages when the Director is unavailable, answer customer queries, inform of delays, issue quotes and schedule site inspections. Follow up on quotes and assist with conversion. Collaborate with other departments to ensure sales, marketing, and events are handled efficiently. Maintain online filing systems, prepare reports, and provide financial information to finance. Make the company's services attractive to potential customers. Ensure adherence to laws, regulations, and company policies. Innovate, implement and drive Accor local campaigns and events. Distribute approved contracted rates, with client follow‑up and record keeping. Assist with administration related functions. Generate data and reports. Accurately administer budget and rate contracting, reporting, and documentation. Operational Duties Maintain knowledge of room locations, room types, package plans and hotel facilities. Conduct regular walk‑about and site inspections to verify operational standards; report concerns to Sales Manager or Director. Assist with site inspections for potential clients. Assist during busy periods, including events over weekends or late evenings. Systems & Procedures Log system problems and suggest improvements. Follow Accor Brand Standards Manual, Departmental Service Standards/Procedures Manual and Accor Policy Manuals. Complete all duties and ensure a concise hand‑over. Complete mandatory training for the position. Guest Service & Employee Relationships Always recognize and greet guests first. Respond to tasks assigned by superiors. Provide efficient, friendly, and professional service to all guests. Anticipate and act on guest requests promptly; refer out‑of‑authority requests to appropriate personnel. Lead by example in attending to guest requests. Take initiative for positive interactions with customers, calling Manager on Duty if difficulties arise. Work collaboratively to meet departmental goals. Treat customers and colleagues from all cultures with respect, sensitivity, and transparency. Act as a salesperson by promoting special promotions and facilities. Implement Accor values and customer vision to offer the best service. Mange corporate/travel trade/leisure/government/niche/mice/international clients with Sales & Marketing Manager. Negotiate terms of agreements and close sales. Cold‑call potential clients and arrange meetings for new business. Attend and host events for top and new clients. Environmental & Social Responsibility Participate in community projects and social development initiatives. Assist in energy efficiency by turning off unused lights and appliances. Control waste and ensure accurate recycling of glass, paper, plastic, aluminum, and steel. Participate in the food & beverage waste program. Reduce paper usage by avoiding unnecessary printing and recycling used paper. Qualifications Minimum matric (Grade 12). 2+ years experience in marketing, sales coordination, or a similar role. Strong administration skills. Strong analytical and problem‑solving skills. Excellent communication and organizational abilities. Ability to multitask and manage multiple projects simultaneously. Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, etc.).
