Our client is looking for an experienced receptionist with a minimum of 3 years' experience. The receptionist will be required to manage the front desk on a daily basis and to perform a variety of administrative and clerical tasks to the highest quality standards.

General Duties and Responsibilities:

  • Greet and welcome guests as they arrive
  • Direct visitors to the appropriate person and office
  • Answer, screen and forward incoming phone calls
  • Ensure reception area is tidy and presentable, including all necessary stationery and materials
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk (logbook, visitor badges)
  • Order front office supplies and keep inventory of stock
  • Update calendars and schedule meetings
  • Keep updated records of office expenses and costs
  • Perform other clerical duties such as filing, photocopying, transcribing and spreadsheets
  • Ordering various business requirements, e.g. refreshments, diesel, sponsorship and promotional items, etc.
  • Managing raised purchasing orders
  • Capturing invoices
  • Assistance with opening/closing project files as may be required from time to time
  • Maintain a register of vehicle-related issues to ensure licences and services are kept up-to-date
  • Ad hoc projects/reports

Requirements and Skills:

  • Speaks English and Zulu
  • Proven work experience as a receptionist, front office representative or similar role
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment
  • Professional attitude and appearance
  • Written and verbal communication skills
  • Resourceful and proactive
  • Excellent organisational skills
  • Multi-tasking and time management
  • Customer service
  • Accounts background
  • Matric; additional certification in Office Management is a plus
