Primary Role
The goal is to contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried out timely and efficiently.
Key Responsibilities:
Provide administrative support to the running of the EXCO.
Work with the CEO to set meeting agendas and arrange meeting logistics for the EXCO.
Taking accurate and accessible minutes of the EXCO and other meetings requested by the committee.
Distributing agendas, minutes and supporting documents for the EXCO meetings.
Maintain accurate records for the administration of RST, including meetings minutes, company details, insurance and financial information.
Ensuring the safety and security of records maintained by the executive committee, complying with appropriate legal requirements.
Preparing the appropriate administration for Board meetings by conducting research and preparing presentations or reports as assigned.
Receive and screen calls and redirect them when appropriate.
Handle and prioritize all outgoing and incoming correspondence.
Handle confidential documents ensuring they remain secure.
Professional writing capabilities, including emails, memos, letters and other industryrelated reports, documents and correspondence
Maintain and administer Office supplies for the Admin Building
The successful candidate will have to meet the following minimum requirements:
Education
Minimum of a NQF Level 5 (matric)
Secretarial Certificate / Diploma essential
Experience
Minimum of 5 years relevant experience.
Have extensive knowledge and experience with great time-keeping and multitasking skills.
Proven experience as an executive secretary or similar administrative role.
Good IT skills – Proficient in MS Office, Word, Excel, Powerpoint and other back-office software.
In-Depth knowledge of office management.
Familiarity with basic research methods and reporting techniques.
Excellent organizational and time-management skills.
Outstanding communication skills.
Integrity and confidentiality.
Ability to think creatively and solve problems.
Ability to work as part of a team.
Ability to summarize information for different audiences.
Relevant qualification in business administration or related field.
