Cluster Manager KZN

Position Title:
Cluster Manager (Regional Property Manager)

Location:

Purpose
Manage multiple shopping centres, overseeing leases and facilities, and reporting to the COO

Responsible for the KZN Cluster (properties largely in Durban CBD, Overport areas)

Implement financial, operational, and maintenance policies and procedures at the Centre level.

Drive revenue optimization and cash flow initiatives to ensure a good return on investment for the Centre and property.

Establish and maintain mutually beneficial relationships with tenants and consumers to optimize the Centre's appeal.

Manage personnel and service providers engaged in repairs, maintenance and tenant installations,.

Responsible for the efficient and effective operation of the Centers, overseeing building maintenance, tenant relations, security, finance, and overall facility management.

Maintain a safe, clean, and well-functioning environment while fostering positive tenant relationships and ensuring financial sustainability.

Outputs

  • Building Maintenance and Cleaning_
Conduct regular walkabouts to identify immediate and urgent repairs, collaborating with tenants and security personnel.

Categorize repairs into minor and major, obtaining quotes and necessary approvals.

Document high-level scopes of work for major repairs and coordinate with Facilities team.

Oversee the execution of minor maintenance and repairs, ensuring adherence to approved quotes and quality standards.

Monitor safety standards and documentation, including Certificates of Compliance.

Maintain cleanliness and order in the centers, overseeing daily tasks such as floor cleaning, waste removal, and overall hygiene.


  • Tenant Activities:_
Act as the main point of contact for tenants regarding repairs, lease agreements, renewals, billing, and other concerns.

Conduct pre and post inspections, enforcing tenant-specific clauses in lease agreements.

Maintains and grows the property rentals by advertising and filling vacancies

Engage with potential tenants, agents, and brokers to fill vacancies.

Work with JHI to perform credit checks, Offer to Lease (OTL), and lease drafting processes.

Manage and organize tenant information and documentation.

Enforcing occupancy policies and procedures by confronting non-compliant tenants

Terminating leases and initiating eviction proceedings

Identifying and following up any legal matters arising out of outstanding arrears

  • Lease Renewals:_
Initiate lease renewal negotiations at least 3 months before expiration.

Manage termination notices and negotiate renewals with tenants.

Set negotiating parameters with tenant committees and agree on rates.

  • Billing:_
Review pre-billing provided by JHI, ensuring accuracy and addressing discrepancies.

Submit proposed corrections within 24 hours for review and resolution.

Collaborate with tenants on billing-related matters, ensuring timely payments and accurate invoicing.

  • Security Management:_
Monitor CCTV cameras, review guard registers, and conduct daily roll counts.

Respond to security threats, review incident reports, and report incidents to relevant authorities.

Ensure proper accreditation, training, and background checks for security personnel.

Develop and implement emergency plans, including evacuation procedures and drills.

  • Finance:_
Manage the center's budget, tracking expenses and income.

Forecast expenses for future repairs and maintenance.

Address arrears by engaging with tenants, negotiating payment plans, and escalating as needed.

Propose write-offs where recovery is not possible.

Prepare daily communications for matters requiring COO escalation.

Drive centre costs down

Diversification of revenue streams and improve Non GLA revenue

Drive utility optimisation by carrying out utilities audit and recovery processes

  • Monitor and manager service providers tasked with executing:_
  • Repairs and maintenance
  • Landscaping
  • Security and safety management
  • Cleaning

Requirements:

Relevant property related tertiary qualification

3-5 Years middle / senior management experience in the real estate industry/ Property sector

Strong financial acumen, including budget management and arrears resolution

Proficient in Microsoft Office and property management software.

Familiarity with relevant compliance regulations

Proven experience in leading and managing a team

South African citizen with clear criminal record

Driver's License
