We are seeking a highly effective Executive Personal Assistant who will perform a supporting and cohesive role to the Executive and the business by executing, organising and co-ordinating all administrative functions to optimise the Executive's time, thereby ensuring the Executives efficiency and effectiveness.

The core function of this role is to provide an efficient and responsive administrative organizational and logístical service to the Chief Executive Officer, helping him to manage and prioritise his time.

The role requires the strictest attention to detail and outstanding time management skills.

The Executive Assistant must have the ability to work independently and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.


Requirements:

  • Dynamic and efficient individual with a high attention to detail.
  • Female with verifiable references.
  • At least 5 years experience working in an office environment.
  • At least 2 years experience as senior level personal assistant
  • Outstanding organisational and time management skills
  • Excellent Word, Excel, Power Point skills
  • Efficient with technology
  • Fluent in English and Afrikaans (read, write, speak)
  • Valid drivers license and good driver
  • Working hours weekdays 07h30 till 17h00

Preference will be provided to applicants with:

  • Experience as office manager
  • Post graduate qualifications.

Duties:

  • Provide full administrative support to the Executive, including scheduling and coordinating meetings, managing correspondence, and preparing reports and presentations.
  • Manage executive calendars and coordinate all travel arrangements.
  • Anticipate and proactively address the needs of the Executive, ensuring that all important tasks are completed on time and to the highest standard.
  • Act as a liaison between the Executive and various stakeholders, including other executives.
  • Plan and execute internal and external events, including conferences, meetings, and events.
  • Conduct research and analysis to support decision making, as well as preparing reports and presentations on findings.
  • Maintain confidential information and documents, handling sensitive information with discretion and professionalism.
  • Manage special projects as assigned by the Executive, ensuring they are completed on time and within budget.
  • Manage diary, schedule meetings, appointments and events
  • Dictation and minutes
  • Source office supplies
  • Travel arrangements
  • Handle requests and queries
  • Produce reports, presentations and briefs
  • Prioritize and manage multiple projects simultaneously
  • A full CV with qualification certificates
  • Recent colour photo
