***To provide a professional and effective administrative and reception service to staff of TB HIV Care and external stakeholders.
Minimum Requirements:
- Matric certificate
- Certificate from twoyear college or technical school in Bookkeeping / Office management
- Minimum 2 years' related experience within an administrative function
- Clear criminal record
- Proficiency in Microsoft Office
- Fluent in English or any other South African languages
- Valid Code 08 driver's licence
Duties and Responsibilities:
- Welcome all visitors politely, promptly and professionally as they arrive at the office
- Confirm appointments, inform relevant staff member and direct visitor to relevant person
- Retain and maintain stock levels of stationery
- Answer all incoming calls
- Ensure that the reception area is always neat, presentable and welcoming at all times
- Ensure that all equipment in the reception area is kept in good working order
- Ensure that there are laboratory request forms, plastic sleeve, cooler boxes, and gazebos
- Ensure all CHWs have the required stationary and data collection tools.
- Ensure that outgoing mail is prepared for posting
- Maintain fixed assets register and ensure maintenance of all assets
- Do monthly assets audit
- Collate and forward all HR and related forms to the Cape Town office
- Attend staff and team meetings
- Prepare boardroom and take minutes for meetings
- Circulate meeting minutes in an efficient and timeously manner
- Type up documents, collate and distribute when required in a proficient and professional manner
- Perform other general office tasks as required by the Site Manager
- Maintain a filing system with all sputum laboratory results
- Collect and capture all weekly and monthly CHW data reports.
- Submit to relevant completed reports timeously.
- Store all source documents safely and securely
