Job Purpose
To deliver administrative support in order to process warranty transactions accurately and timely through the execution of
predefined work objectives as per agreed standard operating procedures.

Position Overview:

Specific Role Responsibilities:

GENERIC JOB OUTPUTS

PROCESS

  • Capture warranty claim data on relevant OEM systems to ensure compliance.
  • Compliance with OEM documentation requirements.
  • Contribute to and assist in the effective execution of internal and external warranty audits to dealer network and from
OEM's.

  • Coordinate first approval rates of denied and/or rejected claims sent to Motus.
  • Deliver on agreed performance targets according to set procedures and service level agreements.
  • Ensure all applicable documentation is accurate, updated and costed correctly.
  • Ensure parts are timeously destroyed according to OEM standards.
  • Ensure warranty storeroom is in accordance to OEM requirements.
  • Execute work in line with governance and compliance processes.
  • Process and administer all warranty claims according to OEM standards.
  • Provide support to dealer network/importer regarding claim handling.
  • Record and report on work activities to provide timely and accurate information for decision making in area of
accountability.

  • Report any inefficiencies to the immediate superior in order to take corrective measurements to complete costing process.
  • Update the warranty grid accurately.
  • Vetting of source documents in order to validate final claim data prior to payment to dealers.

FINANCE

  • Ensure that the relevant financial transactions are accurate and information is documented and stored appropriately.
  • Ensure warranty processes and documentation are accurate to obtain clean warranty audits.
  • Execute work activities effectively and efficiently in order to maximise efficiencies and reduce unnecessary delays in
achieving goals of the office.

  • Followup on claims to prevent nonpayments.
  • Maintain warranty work in progress.
  • Update and maintain warranty age analysis.
  • Verify and ensure that warranty financial entries on the system are in line with approved policies and procedures.

CLIENT

  • Deliver services and/or products that enable a culture which meets or exceeds customers' expectations in the business.
  • Deliver work activities effectively to satisfy customers.
  • Liaise and interact with customers (internal and external) via approved communication channels in a positive and helpful
manner.

PEOPLE

  • Attend learning initiatives to improve work quality and enhance own skills.

Qualifications and Experience:

Minimum Experience
1-2 years' experience in a similar environment

Minimum Qualification
Higher Certificates and/ or Advanced National (Vocational) Certificates
