Introduction

Responsibilities:

Marketing Administration

  • Budget control: Assist in tracking marketing budgets and expenses.

Work closely with the finance department to ensure accurate and timely processing of invoices, purchase orders, and payments related to marketing activities.


  • Manage marketing and sales databases through CRM systems. Perform data entry, update customer information, and segment data for targeted marketing campaigns.
  • Marketing material procurement and inventory management. Maintain stock levels, track inventory, coordinate with vendors for production and delivery, and ensure adequate supplies of marketing materials.
  • Corporate Stationery CI management. Ensure all corporate stationery is in line with brand CI.
  • Provide support for various marketing projects and initiatives. Assist in project planning, timeline management, and coordination of tasks and resources.
  • Organize and maintain digital libraries or asset management systems, ensuring easy access and proper version control.
  • Collaborate with internal teams to ensure alignment and coordination of marketing activities. Coordinate with external vendors, agencies, or partners for marketing projects and campaigns.

Event Coordination

  • Assist in coordinating marketing events: Manage logistics, coordinate with vendors and suppliers, track budgets, and help ensure events run smoothly.
  • Contribute to brainstorming sessions and idea generation for marketing campaigns.
  • Source and negotiate with vendors, suppliers, and contractors to secure services and products needed for the event. Coordinate and communicate with vendors to ensure smooth delivery and execution.
  • Track, monitor and manage event budgets, ensuring expenses stay within allocated limits.
  • Oversee event operations on the day of the event. Ensure administrative aspects of the event run smoothly and address any issues that arise.
  • Conduct postevent evaluations and gather feedback. Assess the success of the event based on predetermined metrics and goals.
  • Maintain thorough event documentation, including contracts, invoices, attendee lists, and postevent reports. Update event files, databases, and records for future reference and planning.

Qualifications and Competencies:

  • Relevant tertiary qualification in marketing or minimum 12 years' experience in similar role
  • Strong communication and written skills
  • Organisation and timemanagement skills
  • Desire to grow into a business and learn new skills to enhance self and the team.
  • Ability to work independently as well as collaboratively with ASI Marketing Team and stakeholders.
  • Excellent organisational and time management skills, including the ability to manage multiple tasks and projects simultaneously while meeting deadlines.
